Pacifica Graduate Institute is a privately accredited graduate school located near the coastal community of Santa Barbara, CA. Pacifica offers masters and doctoral degrees in psychology, mythological studies, and humanities, and is currently seeking a Payroll/HR Coordinator.

SUMMARY

Coordinate and process payroll for all faculty and staff in a timely, confidential, and accurate manner. Assist Director of Human Resources with payroll reports.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Maintain and update payroll data base.

Process New Hire information and update as necessary.

Set up and train new hires on payroll and timecard system.

Send time card notices to all employees and supervisors.

Review electronic time cards for errors and notify supervisors; ensure supervisors have approved all time cards; accurately process time cards and add to batch upload for payroll.

Review salary employees for changes and corrections; prepare batch to upload to payroll.

Prepare termination checks and final check acknowledgement forms as necessary.

Enter all faculty contracts into excel spreadsheet accurately and in a timely manner; review spreadsheet for accuracy; prepare batch with payments due; upload batch into monthly payroll; work with Academic Affairs to reconcile contracts at each payroll.

Prepare Payroll Change sheet listing all changes made to staff and faculty for each payroll run.

Upload 401(k) match information provided by the Business Office.

Merge all batches and run verifications reports; review reports for accuracy; review reports against deduction reports for accuracy; review changes with Director of HR and Accounting Manager; correct errors in batches; process payroll.

Generate summary and labor distribution reports for Business Office each pay period and place in folder on M Drive.

Work with ADP to correct any errors within Payroll System.

Process New Hire information and update as necessary. Ensure that all New Hire Information has been completed properly on DocuSign; verify original identification documentation for I-9; complete Background Check; perform E-Verify.

QUALIFICATIONS

Must be detailed oriented with good prioritization, time-management skills, and organizational skills. Strong team player with ability to multi-task and possessing good communication skills both written and oral. Must have ability to maintain confidentiality. Ability to work with moderate supervision and ability to problem-solve.

EDUCATION and/or EXPERIENCE

1-3 years experience in a fast paced Payroll Department.

1 -3 years payroll processing experience, ADP Workforce Now preferred.

Payroll certified Preferred.

1-3 years of accounting experience

LANGUAGE AND MATHEMATICAL SKILLS

Ability to read, write, speak, and receive instruction in English. Intermediate to advanced math required.

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Ability to problem-solve while following established policies, regulations, and procedures. Ability to pro-actively identify potential problems and proactively work to resolve them.

COMPUTER SKILLS

PC literate; MS Office (including Word, and Excel).

DocuSign and general office equipment.

PHYSICAL DEMANDS

Ability to stand, walk, use hands to finger, handle, or feel, reach with hands and arms and talk and hear. Sometimes required to sit, climb and/or balance and stoop, kneel, crouch, and/or crawl.

Close range vision.
