For more information, visit www.cuanschutz.edu .Position EmphasisThis position will exercise the duties and responsibilities of managing the administrative support for the offices of the Chair of the Department of Surgery, and the Director of Finance and Administration for the Department of Ophthalmology. This position will supervise an Administrative Assistant (s) in the Department of Ophthalmology. This position will be in charge of managing the calendar, events, appointments, travel, reimbursements and official functions of the chair and the DFA. This position will be the responsible point of contact for the administrative support team and will supervise and mentor designated position(s). This position will work closely with the Directors of Finance and Operations for the Department. This position will also keep up to date data and analysis on various parts of the Department for distribution to the Chair and the DFA. This is a highly independent, fully operational position with a high level of discretion in decision making. Part of the duties will include being a liaison for executive level leadership across the campus and outside organizations, including UCH, CU, CU Medicine, CHCO, CU Foundation and philanthropic prospects and donors for the Department.Examples of DutiesOversees the day-to-day functions of the unit:

Plans and executes department wide events on behalf of the Chair and DFA including developing budgets, tracking and reconciling expense, negotiating contracts with vendors, managing timeline of the event.

Works with DFA to manage department philanthropic activities in developing presentations to donors and foundation staff and assist in annual project and financial reporting for donors.

Provide project management for Department initiatives led by Chair and DFA, developing processes, utilizing tools to track projects status and communicate updates and action items to key contributors inside and outside of the Department.

Create, publish and update meeting agendas and notes.

Schedule and coordinate meetings for projects with agendas.

Identify risks and issues and document them in a risk and issues register, for each project.

Create standardized processes for procurement and purchasing for Department.

Track and manage budgets dedicated to Chair and DFA projects and initiatives.

Develop and manage department policy and lead implementation of policies for department space management, CME, and faculty committees.

Provides reporting for DFA and Chair from CU systems including but not limited to: FIMs, Smartsheets and A2E.

At least 5 years of experience in an executive/vice chair/VP support and/or office manager role.

Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis.Preferred Qualifications.2 years of supervisory experience.

Extensive, diverse and progressively responsible experience, including direct responsibility for managing customer centric positions and office support responsibilities.

Experience managing executive level calendar, scheduling, event planning.

Experience in Higher Education or Healthcare executive support.

Experience working with University of Colorado systems (Concur, CU Marketplace, etc.).

Experience using Microsoft Office Suite, Google Suite, etc.

Knowledge, Skills and CompetenciesAbility to communicate effectively, both in writing and orally.

Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.

Outstanding customer service skills.

Demonstrated commitment and leadership ability to advance diversity and inclusion.

Ability to perform detailed functions with a high degree of accuracy.

Ability to work independently and to take initiative and work pro-actively with minimal direction.

Salary and BenefitsThe salary range ( or hiring range ) for this position has been established at $74,422 to $78,401.The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.The above salary range ( or hiring range ) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.This position is not eligible for overtime compensation.Your total compensation goes beyond the number on your paycheck.
