Description Executive Assistant The responsibilities include providing complex administrative support and technical program assistance. The EA is analytical, multi-task oriented, uses critical thinking, is self-motivated, and possesses excellent administrative skills. He or she will have integrity, high motivation, and be able to produce results in a fast paced and deadline-oriented environment with creativity that will invigorate the AHA’Microsoft annual business plan. The Executive Assistant works under minimal supervision with considerable latitude for the use of initiative and independent judgment. Essential Job Duties: Maintains calendars, schedules and makes logistical arrangements necessary for internal and external meetings. Manages and maintains donor contact information lists and communicates regularly with donors. Works with the SVP to ensure timely stewardship and follow-up needs are met for key donors, board members and committee members. Plans and prepares, or supervises the preparation of weekly, periodic and special development reports. Assists in budget preparation and management. Conserves executive'Microsoft time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information. Responsible for the office management ensuring it functions smoothly and administrative tasks are accomplished as assigned. Maintains an orderly filing system for correspondence and other documents. Maintains accurate information relevant to internal meetings, committee meetings and events. Works independently as well as with a team on special nonrecurring and ongoing projects. Acts as project manager for special projects, which may include planning and coordinating multiple presentations and disseminating information. Schedules and organizes meetings, conferences, regional activities and makes travel arrangements. Performs desktop publishing and creates and develops visual presentations and proposals. Acts as a liaison between the region and national center. Types and designs general correspondence, memos, charts, tables, graphs, spreadsheets, etc. Proos copy for spelling, grammar and layout, making appropriate changes, as needed. Ensures accuracy and clarity of final copy. Handles confidential information. Requirements Pivot Table, MS Excel, MS PowerPoint, Microsoft Outlook, MS Word, Calendar Management Experience Required: Proven ability in making decisions quickly and independently with little to no direct supervision. Extremely strong interpersonal skills, particularly regarding the judgment, discretion, confidentiality, patience, and understanding necessary for dealing effectively with a diverse body of volunteers, donors, and professional colleagues; independence; and a strong team orientation toward both with internal and external constituencies. Can work in a team environment and interact with all levels of AHA staff, volunteers and the public. Ability to conceptualize, solve problems, make sound decisions and develop alternative solutions, as needed. Possesses exceptional organizational skills, is detail oriented and experienced in handling sensitive and confidential information. Excellent oral and verbal communication skills, and skilled in the creation of clear and concise reports, evaluations and other narrative pieces. Ability to lift 20lbs from ground to waist level with or without reasonable accommodation. Advanced knowledge and skill with Microsoft Office used for word processing, email, presentations and spreadsheets is preferred.
