ART RESTORATION ADMINISTRATIVE ASSISTANT

Colorado Art Restoration Services, a fast-paced, high volume conservation and restoration firm in Lakewood, Colorado, is currently accepting applications for a full-time administrative assistant to support art restoration and framing staff, aid in project coordination, customer relations, filing, answering phones, scheduling, and to perform other clerical duties as assigned or requested.

Requirements:

• Ability to work as a self-starter independently and as a team

• Comfortable under pressure

• Must be detail-oriented

• Strong organizational and planning skills

• Proficiency in MS Office, especially MS Excel

• Experience with Asana and Jobnimbus helpful

• Able to respond positively to dynamic changes and evolving projects

• Time management skills and ability to multi-task and prioritize work

• Must have a clean driving record and a valid Colorado Driver's License

• Ability to effectively handle customer concerns to establish customer confidence

• Effectively and adaptively communicate professionally, written and verbal, with a wide variety of people who themselves have varied communication preferences and cultures.

• Knowledge and experience in the fine art, framing, and/or art restoration industry and customer service helpful

Essential Duties and Responsibilities:

• Answering and directing incoming calls

• Customer Advocacy

• Fulfill project requests

• Actively contribute to a high-volume workload

• Generate and review scopes of service and invoices

• Handle all issues with diplomacy to avoid escalations

• Solid and logical decision making with minimal supervision

• Confer with leadership to maintain and support established project plans and goals, the scope of work, and project parameters

• Solve problems, proactively identify issues, and remove barriers to the team’s progress, with a strong toolbox of techniques to help and energize teams to meet deadlines with strong deliverables

• Track schedules, budgets, work plans, cost estimates, and monitor projects for conformance to approved plans, regulations, and contract specifications and participate in preparing logistical materials including contracts and documentation.

• Some travel may be required.

• Fulfill any other tasks required by Supervisor
