Job purpose

Perform a range of general and specific clerical, accounting and bookkeeping support functions in the organization.

Assist with planning, organization and co-ordination of the company's payroll and HR function

Assist with IT related topics

Duties and responsibilities

Accounting related duties and responsibilities

• Prepare work to be accomplished by gathering and sorting documents and related information.

• Supported by the Corporate Controller, accounting clerk will manage accounts payables by verifying transaction information; scheduling and preparing disbursements; obtaining authorization of payment.

• Supported by the Corporate Controller, accounting clerk will manage accounts receivables by verifying transaction information; computing charges and refunds; preparing deposits; mailing invoices; corresponds with customer to settle delinquent accounts.

• Prepare financial reports by collecting, analyzing, and summarizing account information and trends; such as agents' commissions, City of Pueblo quarterly report etc.

• Prepare and file monthly Use Tax and annual Sales Tax reporting to local and state government agencies

• Supported by the Corporate Controller, prepare all month-end journal entries and related analysis

• Maintain accounting ledgers by posting account transactions.

• Verify accounts by reconciling statements and transactions.

• Resolve account discrepancies by investigating documentation; issuing stop payments, payments, or adjustments.

• Maintain financial security by following internal accounting controls.

• Contribute to team effort by accomplishing related results as needed.

• Manage processing of company's payroll(s) (all exceptions to be authorized by President or either vice presidents or corporate controller).

• Collate information for above, process, produce reports and journals and file.

• Prepare and remit monthly superannuation contributions and quarterly employee statements.

• Prepare, code and process journals for employee provisions.

• Reconciliation of payroll related general ledger accounts.

• Preparation of various payroll related reports for managers.

Human Resources and Administrative related duties and responsibilities

• Manage all incoming inquiries whether by phone or walk-in

• New hire paperwork processing and new employee orientation

• Maintenance of employee HR files

• Termination and redundancy calculations as required.

• End of year processing and reconciliation including payment summaries.

• Co-ordination of workers' compensation, UIC and Heath Group Insurance

• Co-ordination of superannuation contributions ensuring company meets statutory requirements.

• Answer staff queries regarding payroll and human resources matters.

• Preparation of employee contracts and letters of offer/rejection.

• Provide advice regarding employee and industrial relations issues.

• Create job descriptions as necessary.

• Organize recruitment and selection including advertising, short listing applicants and correspondence.

• Contribute, when asked, to schedule preparation, and other HR related functions.

• Assist with IT related topics/issues

Qualifications - Minimum qualifications required to successfully perform the job.

High level of confidentiality required

Strong administrative writing skills, data entry skills, general math skills, organization skills.

Good abilities in financial software learning, analyzing Information, attention to detail, thoroughness, reporting/researching results.

Ability to think quickly and logically to ensure expedient and thorough responses.

Good communication skills. Must have ability to communicate effectively, both verbally and in writing. Have interpersonal skills; Must be able to coordinate with other departments and sister company personnel. Be cordial and professional.

Customer (internal or external) service focus.

Demonstrate good use of judgment.

Self-control and tolerance. Must be able to work under pressure.

Team player. Being self-motivated and reliable. Willingness to learn.

Proficient in Microsoft Office programs. Working knowledge of ERP / MRP systems an asset.

Demonstrated end to end payroll processing and HR assistance experience.

Ability to work to deadlines.

2-3 years of experience in similar role.
