The Project assistant will manage all administrative needs for a specific project site while cultivating a positive and cooperative work environment.

The Project Assistant reports directly to project manager(s) for the specific project site and any assistance the General Manager may need for the specific project site. The Project Assistant's duties may include but not limited to:

Manage site calls, respond to queries, screen calls for messages, forward call to proper recipient etc. Maintain email correspondences with relevant contacts, write or respond to emails.

Attend project team meetings and take notes on available project outlines/resource materials/HR requirements/budgetary details etc.

Keep up to date on the project development and perform necessary communication to follow up on deadlines and changes in project schedules. Coordinate Daily Site Reports for PM understanding status of work on site.

Prepare project proposals/guidelines, contract agreements, project report presentation etc.

Keep records of project/marketing/event reports, necessary project files and documents, or any other relevant correspondences etc.

Schedule/organize necessary meeting, set up agendas, communicate meeting schedules, and book meeting/conference halls.

Collect and manage required paperwork for site subcontractors; billing, insurance/worker's comp. certs as well as required employee documentation

Coordinate paperwork with different city offices electronically and in person. Coordination for site inspections, taking meetings for minor issues as directed by Project Manager.

Point person for all site visitors; material suppliers, subcontractors and employees. This includes PPE for anyone onsite.

KEY JOB QUALIFICATIONS:

2-3 years experience within the construction industry, understanding process flow and terminology

Ability to assess priorities and operate in a flexible manner to meet the dynamic needs of the team

Strong analytic and communication (oral and written) skills necessary to interact with all levels of management.

Attention to the details, comfort with financial data.

Proficient in MS Project, Excel, Word, Outlook and Power Point
