Facilities Manager

Under the supervision of the Executive Director, the Facilities Manager oversees all HHC facility management activities.

General Expectations

Works in accordance with HHC values and ethics standards including:

•Guests/participants, colleagues and volunteers treated with respect at all times.

•Complies with HHC personnel policies by maintaining appropriate boundaries concerning relationships with guests and respecting HHC rules regarding the use of HHC property.

•Avoids loud, threatening or derogatory language at all times unless an emergency situation requires special behavior.

•Maintains confidentiality of guest information both in and outside of work.

•Treats all guests and fellow staff members fairly in accordance with HHC guidelines and policies.

•Completes all checklists, incident reports, time cards and other written materials carefully and honestly.

•Collaborates actively with fellow staff members to achieve HHC objectives and improve services. Functions as a supportive team member enhancing the effectiveness of colleagues. Offers feedback as needed but in a respectful and open manner.

•Assumes responsibility for understanding and following HHC procedures, outside agency regulations, laws and standards applicable to his/her area of responsibility.

•Reports any ethical violations or significant failure to follow HHC policy to appropriate management staff.

Specific Responsibilities

1) Facilities management for State Pier Road property

a. Manages routine maintenance for all major HHC systems including HVAC, security and fire safety.

b. Implements HHC emergency procedures including fire drills, inspections and emergency preparedness.

c. Arrange for periodic testing of the generator to be sure it is operational.

d. Manages the maintenance of HHC property at State Pier Road including: outdoor maintenance, snow removal, facility repair, periodic painting and monitoring/correcting safety issues.

e. Monitors and, as needed, replaces major equipment and furniture.

f. Oversees daily deep cleaning crews. (Shelter staff will continue to monitor routine cleaning and chores.)

2)Serve as Facilities Manager for the VA GPD house.

a. Conduct required fire drills, inspections and other VA required safety procedures. Maintain records of facilities activities as required by VA.

b. Maintain keys providing duplicates to case manager.

c. Manage routine maintenance including extermination services, care of grounds, snow removal, furnace/sprinkler inspections etc.

d. Maintain building and property in good repair.

e. Monitor utilities including electric, gas, phone and internet.

3)Oversee the management of all HHC owned vehicles

a. Assure all vehicles are registered.

b. Assure that insurance and registration documentation is in every vehicle.

c. Assure that required safety equipment and instructions are in each vehicle.

d. Monitor required inspections to assure that vehicles meet all requirements.

e. Arrange for routine maintenance for all vehicles

f. Facilitate repairs as needed.

g. Monitor compliance with requirements to log trips and track fuel usage.

h. Take steps as needed to maximize vehicle related safety for staff and guests.

4) Oversee the facilities management of HHC rental properties

a. Manage routine maintenance (boilers, alarm systems, extermination etc.)

b. Respond to tenant work orders as approved by Property Manager (recording, contracting and tracking all work requests)

c. Replace furniture and equipment as needed

d. Maintain master list of codes and copies of all keys.

e. Maintain gas, electric, phone, security cameras, wi-fi

f. Monitor utilities and assure that oil is ordered as needed.

g. Complete room refurbishment when tenant moves out

h. Complete semi-annual property walk-throughs to identify maintenance needs

i. Managing utility and maintenance budget including following HHC procurement guidelines when contracting for maintenance support.

j. Manage routine ground maintenance (i.e. lawn mowing) and snow removal.

k. Maintain master set of all apartment/building keys and lock codes.

5) Manage HHC supplies

a. Maintain bulk storage areas for shelter related supplies. (Day to day restocking to be done by shelter staff)

b. Place orders and restock central storage locations as needed to assure that shelter staff has access to key supplies.

c. Oversee all on site and off-site storage locations (basement, closets, sheds, garages) to keep sites organized.

d. Manage sheet/towel supply contract with L+M Hospital.

6) Participate in HHC safety committee and other efforts to improve facilities related safety.

7) Assist in the development and implementation of new capital projects.

8) Monitor insurance coverage and claims related to HHC property.

9) Manage after hours facility related emergencies.

Qualifications

Highly organized with demonstrated ability to pay attention to detail and undertake multiple tasks on a daily basis.

Facilities management experience preferred.

Valid driver’s license with no points.

Position

This is full time position. Compensation is between $17.00-$19.00 per hour depending on experience.
