We are looking for the right person to join our Management Team!

Must be available to be on call several evenings a week and 2 weekends a month. Weekend Office Hours may be required.

Job Summary:

Responsible for all areas of Scheduling Aides and Clients along with General Office Operations. Understands and adheres to established CarpeVITA Home Care policies and procedures.

Duties & Responsibilities:

 Answers the telephone and documents new client information.

 Creates and maintains aide schedules.

 Schedules shifts by matching caregiver qualifications and availability to client's needs in a timely and efficient manner

 Adding the new client's schedule to the time management system

 Continuously updating caregiver status as "active" or "inactive" in the time management system

 Enters, maintains, and corrects client and employee related accounting data into the time management system.

 Enters staff and new client information into the time management and updates this information as it may change

 Daily reconciliation of the time management system.

 Performs general office duties including but not limited to word processing, photocopies, filing, shredding, sort/distributes mail, provides reception and telephone services.

 Manage Office Calendar

 Ability to prioritize projects with strong problem-solving skills.

 Responds to communications promptly and concisely (texts & emails).

 Orients caregivers and maintains current caregiver files in accordance with State Regulations.

 Records employee information such as personnel data, compensation, benefits, tax data, attendance, lateness, performance reviews, evaluations, and termination date and reason.

 Responds to Service Letters and Department of Labor requests.

 Maintains office supplies, forms and equipment. Notifies Operations Manager when supplies are needed.

 Understands and adheres to established CarpeVITA Home Care policies and procedures.

 Contacts care providers and clients regarding day-to-day changes.

 Discerns client services required as outlined in agreements, urgent requests and care plans.

 Maintains staff and client database (expired certifications, client admission and discharge from hospital).

 Verbally communicating the Care Plan and directions to the client's home to the caregiver.

 Communicating with the client regularly during the staffing process to ensure services exceed their expectations.

 Providing facilities with the caregiver documentation required to provide supplementary staff or work directly with a facility's client

 Advising aides about facility policies and procedures.

 Participating in all team meetings.

 Keeping Agency Director / Clinical Director updated/informed on all caregiver/client issues

 Excellent communication skills; both written and verbal

 Knowledge of operating standard office equipment

 Good research skills and attention to detail

 Prepare and modify documents including correspondence, emails and memo's

 Run company errands

 On Call phone duty- taking on call cell home at least 2 nights a week & 2 weekends a month

 Other miscellaneous duties as requested

Qualifications:

 High School Diploma along with two years related experience and/or training or experience in home care. Knowledge of the health care industry preferred.

 Prior scheduling experience preferred.

 Computer skills including but not limited to MS Office Applications and Scheduling programs

 Basic medical terminology.

 Interpersonal, organizational and communication skills.

 Maturity and ability to deal effectively, and professionally, with the demands of the job.

 Demonstrates excellent communication skills, organizational skills and customer service techniques.

 Must perform and manage multiple responsibilities concurrently and work well under pressure.

WORKING ENVIRONMENT:

 Works indoors at the CarpeVITA Home Care of Delaware's Newport office.

 Adheres to the Business Casual Dress Code.
