Position Title: Manager, Meetings

Reports To: Director, Meetings

Status: Exempt

ASAM is a medical professional society representing more than 6,000 members with 40+ staff and a $10M annual operating budget. It is an energetic, fast-paced organization with multi-faceted opportunities in the area of addiction medicine.

Position Summary:

This position will report to the Director, Meetings. This position will assist with exhibit & sponsorship management, meeting logistics, registration and other aspects of meeting management. The manager will also be responsible for the successful attainment of revenue goals for exhibitors and sponsors for at least two live meetings a year. This position will also do some duties as assigned from the Chief Learning Officer.

Responsibilities:

Develop, build and maintain relationships with industry-organizations that do business with the addiction medicine community; maintain prospective exhibitor and ASAM Corporate Roundtable list; sell exhibit booth space and sponsorship opportunities for Annual Conference and other live events; and ensure budgetary projections are met.

Lead the generation, distribution and management of all exhibitor, sponsorship and advertising contracts

Manage, track and review sponsor and exhibitor letters of agreements.

Manage exhibitor registration and needs and be on-site for management of exhibitors at the Annual Conference

Ensures adherence to sponsor and exhibitor guidelines and ACCME requirements

Assist with management of meeting logistics with hotels for major live events and future smaller live events

Assist with coordinating services for events, such as accommodation and transportation for select special guests, facilities, catering, signage, special needs requirements and event security, etc. for current major live events and upcoming smaller live events.

Assist with set-up and management of registration for live events

Assist with the review, negotiation and tracking of contracts with service providers and suppliers that include; hotels, convention centers, registration companies, special event companies, etc

Assist with member/customer service for live events and assist staff and event participants with registration as needed.

Assist with set-up and management of event registration using organization database software, MemberSuite.

Assist with management of event budgets, data and or spreadsheets needed to track information.

Participate as a member of the education department and assist Director of Meetings and staff from all departments in making live meetings and events successful by facilitating an enjoyable and productive event experience

Support ASAMs overall goals and objectives through additional responsibilities and other duties as assigned

Open to new ideas and other duties as they arise and are assigned

Some travel required

Education and Experience:

Two to three years of experience in event/meeting planning and sales or marketing preferred

Experience in fund-raising and/or obtaining exhibitors and sponsors preferred

Experience in an association environment strongly desirable

College degree

Skills and Abilities:

Proven record of successful sales, meeting planning and fundraising desired

Proficient with Excel, Word, Outlook and experience with databases

Strong interpersonal, communication and customer service skills

Excellent organizational skills including setting priorities in work assignments, coordinating projects, and following up on assignments with minimal direction

Ability to efficiently handle multiple priorities in a fast-paced environment with attention to detail

Resourcefulness, initiative and creativity valued

Team player with positive attitude, enthusiastic energy and ability to have fun with team members

Works closely with:

Education department team members and marketing and other departments to ensure customer satisfaction and fulfillment of obligations for meetings, exhibitors and sponsors

Recruiting Salary Range: $50,000 to $53,000 (with a robust benefits package)
