Job Description:

The Office Administrator oversees the day-to-day operations of the Parish under the direction of the Parish Priest and Parish Council. This full-time position includes supporting the ministries, general office management, vendor coordination, and managing the activities calendar.

Hours:

Monday- Friday (40 hrs/ week)

On occasions weekend and evening hours may be required depending on church programs and events.

Responsibilities:

● Answer and screen all incoming calls and routing them to the appropriate personnel.

● Open and route all mail & email correspondences.

● Maintain an orderly office and filing system for the parish office and treasurer’s office. ● Manage the church’s calendar.

● Publish parish communications- weekly Emails, PowerPoint for TV loop and quarterly newsletter.

● Maintain the Church website and mobile app.

● Manage the office supplies inventory, including ordering supplies, as necessary. ● Manage rental agreements and payments.

● Provide letters as needed.

● Record all donations in Church Community Builder and deposit checks in a timely manner.

● Work closely with the Parish Council Treasurer and Accountant.

● Create forms for events and collect payments

● Set up Square for Parish and Ministry events.

● Facilitate fire drills, coordinate with vendors & oversee annual building and security inspections.

● Assist as needed with the annual festival- obtain Montgomery County permits. ● Performs other related duties as assigned by the Parish Priest and Parish Council.

Qualifications:

● Must be a self-starter with an innovative approach to administration and a keen eye for detail.

● At least 3 to 4 years of clerical/administrative experience required.

● Must exercise exceptional judgment in dealing with sensitive and personal issues. ● Must be comfortable working with technology and social media.

● Must be able to multi-task, meet regular weekly deadlines and provide follow-up as

needed.

● High school diploma or GED equivalent required.

● Strong computer skills are required (Office Suite, Google Suite, WordPress, Square)
