We are seeking an Office/Bookkeeping Assistant to join our team.
The ideal candidate is a highly dedicated, positive and a helpful team player with attention to detail and experience of office and bookkeeping administration.
Hours are Part-Time to begin, additional hours possible as experience progresses
Duties/Responsibilities:
Office Tasks:
Maintain office organization
Support and correspond with staff
Sort mail, scan, file in the Cloud, and forward mail/payables to appropriate staff members
Manage time/expense online system and correspondence with employees
Schedule meetings, appointments, and tasks in Outlook
Assist with new employee set up
Assist in marketing company; send marketing materials out
Update Excel spreadsheets
Assist with rental property tasks; maintain communication with tenants and vendors
Create and maintain policies and procedures
Help coordinate daily and weekly reports
Bookkeeping Tasks:
Assist Accounting/Payroll Manager
Download statements for accounting/bookkeeping
Analyze invoices/statements for accuracy
Data entry of bills/payables into QuickBooks
Account payable reports generation from QuickBooks, and saving other reports to Cloud
Pay bills
Other miscellaneous office and bookkeeping related duties as assigned
Skills/Abilities/Knowledge:
Previous office or bookkeeping experience
Ability to work well with others
Attention to detail
Self-starter with the ability to work alone
Strong analytical and communication skills
Excellent organizational and time-management skills
Experienced and proficient in Microsoft Office, and QuickBooks strongly preferred
Professional, proactive, and cordial
Dependable, knowledgeable, and focused
Ability to contribute to team effort by accomplishing related results as needed
Location: Must report to office on Cudjoe Key
Hours: 8:30am – 12:30am (estimated 20 hrs/week to begin)
Pay: Dependent on experience
