Executive & Personal Assistant

We are looking for an experienced executive and personal assistant to develop and employ creative solutions to organize a busy real estate brokerage leader and entrepreneur.

You will work directly for the entrepreneur providing administrative support for his primary role as the leader of a real estate office in Winter Haven, and also for his other multiple businesses and personal life.

Responsibilities:

Maintaining and organizing his calendar: booking appointments with stakeholders, monitoring follow-up opportunities and assisting him in utilizing his time most effectively

Email capturing, summarizing, and follow-up: filtering information in his inbox to leverage his time and maximize his focus

Managing and scheduling details related to travel

Organizing and maintaining digital client files to ensure all are kept up to date, including capturing dictation of client notes, managing a CRM database, creating and managing automated follow-up systems

Quickbooks bookkeeping for each business and the entrepreneurs personal financial management: bills, taxes, etc.

Project and task management for multiple projects simultaneously

Working with multiple social media platforms for marketing and brand management

Being proactive to help organize all of the responsibilities of the executive's life so he can optimize the use of his time and resources

Unconditional Job Requirements:

A person with 2+ years of experience in an administrative role in a professional environment. This is not an entry-level position. You must already possess the required professional skills and be ready to learn our cloud-based software systems and this jobs particulars.

Intermediate to advanced skills: typing dictation (at least 50+ wpm), calendaring, time and task management, travel planning, professional correspondence, basic bookkeeping concepts, cloud-based software and apps, and social media.

Proven abilities as a clear thinker, well organized, level-headed, solution-oriented, proactive, diligent, and hard-worker.

Needs to be a proactive, self-starter, efficient, and productive person who gains energy from staying organized and getting things done. Someone who enjoys developing creative systems and processes to support an ambitious, fast-paced, multi-role boss.

You will need to be a fast learner who is very comfortable with modern technology platforms. Bonus if you already know both PC and Mac operating environments. The more you are willing to learn (or already know) about social media, online marketing, mobile apps, and other cutting edge technology, the easier the onboarding process will be and the greater the opportunity for rapid pay increases.

Hours:

Monday-Friday, full time from 9:00 to 5:00, with options for some flexibility and off-site work.

Compensation :

$2,000 to $3,000 monthly, based on experience and the ability to get results.
