We’re currently seeking a motivated and organized Office Assistant with accounts payable experience to join our team and support our daily administrative and financial operations.
Position Overview
The Office Assistant will handle a variety of administrative tasks and assist with accounts payable duties for multiple properties. This role is ideal for someone who thrives in a fast-paced office environment and enjoys working with numbers, vendors, and property management teams.
Key Responsibilities
Process vendor invoices, verify accuracy, and ensure timely payment for property-related expenses
Maintain organized digital and physical filing systems for invoices, leases, and property records
Assist with reconciling accounts and preparing financial reports for property owners
Communicate with vendors and property managers to resolve billing discrepancies
Track utility bills, maintenance invoices, and recurring property charges
Support office operations, including answering phones, managing correspondence, and ordering supplies
Assist with tenant communications and document preparation as needed
Qualifications
High school diploma or equivalent required; Associate’s degree in Accounting, Business, or related field preferred
1–3 years of experience in an administrative or accounting role, preferably within property management or real estate
Proficiency in Microsoft Office (especially Excel and Outlook)
Experience with property management or accounting software (AppFolio, Yardi, Buildium, QuickBooks, etc.) preferred
Strong attention to detail, organization, and problem-solving skills
Excellent communication and customer service abilities
