Software Guidance & Assistance, Inc., (SGA), is searching for an Event Planning Associate for a one-year remote contract assignment with one of our premier hospitality clients. Do you want to advance as an Event Planning Coordinator? Do you want to periodically travel & attend onsite Events?

Remote position work from home daily basis, but required to attend 3-7 Onsite Events
Reports to : Manager of Corporate Events
One year contract
This is not a Manager level position


Summary
Provides administrative support and departmental coordination for the Corporate Events Department. This position is in a fast-paced environment and requires some travel and/or extended work hours, including weekend.

Responsibilities

  • Administrative support in all phases of the corporate events department. Strong organization skills for preparation of event materials, assisting management with print timelines for event related documents, effectively communicate timelines to the team along with coordinating all department expenses as it relates to the program. Key role in assisting other staff members on group projects and staying current with department goals and event programs in order to effectively handle questions from the field and other departments. (25% time)
  • Tracking department expenses and event payments/deposits; including, invoice possessing and assisting the Director of Corporate Events in bill reconciliation and updates to the event budgets accordingly. (25% time)
  • Assist with all event related questions, registration questions and/or department requests.
  • Coordinate the timelines and communication plan with fulfillment vendors and secures all materials for events. Maintaining the inventory of gifts and supplies needed for all events and oversees the shipments to and from all events (both to/from domestic and international locations.
  • Support our recognition programs and assists with pre-event and post event fulfillment for our incentive programs. Creating reports that capture attendee information within given program timelines and works with management to ensure the needs of each program are being maintained.

  • Travel Requirements
    Domestic and/or international travel is required for on-site event activities which take place several times per year: 3 major incentive trips, possible 7 trips all together.

    Minimum Requirements
    • Education: High school diploma or equivalent Knowledge and skills
    • Social Media savvy
    • Technical Skills: Highly proficient in Microsoft Word, Excel and Outlook
    • 2-4 years administrative and project coordination experience
    Organizational Relationships
    This position will have visibility to executives during events, will work closely with management, Corporate Communications, Corporate Promotions, the Brand department, and Finance for invoice processing and re-classing of department expenditures. Maintain continuous relationships with external stakeholders, Management Companies and event-related outside vendors.

    Preferred, Not Required
    Knowledge of registration software is preferred to assist in building registration websites along with reporting management and maintaining organized attendee lists that uphold and support the program: CVENT and/or event app program such as Attendify/Event Mobi is strongly encouraged.
    • Bachelor's degree in Hospitality Management or Marketing preferred
    • 2 years related experience in event planning preferred
