SummaryIn response to COVID-19, the incumbent will serve as a Temporary Program Support Assistant for the Orlando VA Healthcare System, Lake Baldwin Campus assigned to the Ambulatory Care Service (Occupational Health Department) in Orlando, FL. Assignments to other facilities within the Orlando VAHCS may be required to meet the needs of the service.ResponsibilitiesThe incumbent will serve as the Program Support Assistant for the Occupational Health Department to facilitate ongoing employee healthcare, the smooth running of the office/clinic, physician credentialing, and future residency program as it relates to the Orlando VA Healthcare System. The work consists of duties utilizing administrative and technical skills, statistical analysis, and positive communication skills with internal and external customers. Duties and responsibilities include, but are not limited to: Incumbent is responsible for receipt and distribution of all mail and correspondence for the office ensuring items requiring follow-up or actions are appropriately suspended and presented for completion. Performs a variety of administrative duties including, typing, copying, faxing, filing, and other tasks associated with maintaining and supporting the work performed by the Office of the Chief of Primary Care Service. Maintains and manages leadership calendars for a business unit. May be required to provide office coverage for other administrative/clerical staff as requested. Performs administrative work in support of the care and treatment given to employees/patients, such as receiving employees/patients. The incumbent also reviews work measurement functions for the Orlando Occupational Health Department to ensure that basic reporting requirements and procedures are being followed that reports provide clear and concise information. Serves as the liaison to schedule meetings, obtain conference rooms, arrange for, monitor, and secure equipment, teleconference lines, videoconference equipment, services, and products and copies as needed. Maintains the procurement/purchasing records and reports. Coordinates travel, makes travel arrangements, prepares travel estimates and maintains records of travel cost of staff members and other budget items. Monitors and controls business papers, correspondence, and records, including the coordination of minutes, action items, and documents needed by the office. Receives, assigns, and monitors externally and internally generated correspondence and inquiries. Monitors the progress of management's reports, notes, memoranda, date, etc. to ensure their satisfactory and timely conclusion by preparing documents and/or supporting these functions for the office. Obtains and monitors the use of services, supplies, and equipment both clerical and medical. Prepares resource status reports for the Chief of Primary Care and Occupational Health supervisor. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Specialized Experience: You must have one (1) year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: maintaining employee/patient files, administering or advising on medical record systems, maintaining and/or processing medical records, analyze data to determine and evaluate results, trends, and developments, scheduling and monitoring of purchasing/procurement transactions for the full range of standard items and service, ensures observance or deadlines and coordination of internal comments and inquires, and procures, authorizes, controls, and justifies a variety of general support services. Clinical Informatics: Focuses on the application of informatics and information technology to deliver healthcare services and develop and/or manage business requirements specifically to health information system IT solutions. Computer Skills: Uses computers, software applications, databases, and automated systems to accomplish work. Health Informatics: Knowledge of health informatics, i.e. design, configuration and management of health information and clinical support systems; health data collection, storage, extraction, manipulation, reporting and communications. Oral Communication: Expresses ideas and facts to individuals or groups effectively; makes clear and convincing oral presentations; listens to others; facilitates an open exchange of ideas. Quality Assurance: Knowledge of principles, methods, and tools of quality assurance and quality control used to ensure a product fulfills functional requirements and standards. Writing: Uses correct English grammar, punctuation, and spelling to communicate thoughts, ideas, information, and messages in writing. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week.
