DescriptionReporting to the Dean of Spiritual and Religious Life, provides the highest level of administrative support for the department and serves as a liaison with the Executive Assistants of other university leaders reporting to the President, Provost, or Deans.Provides consistent presence in the office to greet constituents in person, on the phone, and by email. Creates an orderly, effective, hospitable, and caring office environment.Sorts and routes correspondence, and may respond to communications based on the recipient’s guidance. Investigates and resolves questions and concerns. Escalates situations appropriately.Coordinates the complex calendars of the Dean, Associate Dean, and Assistant Chaplains, and others in the department as needed. Ensures appropriate preparation for daily activities. Coordinates domestic and international travel arrangements.Coordinates meeting, conference, and program logistics including scheduling, developing agendas, taking and publishing minutes and follow-up on items, preparing spaces, publicity, materials, resources, supplies, services, refreshments, etc.Processes financial transactions. Carefully tracks multiple complex budgets and prepares and monitors budget reports and proposals. Coordinates payments, purchases, donations, invoices, receipts, reimbursements, corporate cards, and financial records.Processes human resources transactions and serves as the timekeeper for hourly employees.Maintains department websites and social media platforms. Arranges photography and videography. Maintains contact management systems for newsletters and mailings. Proficient in working with large spreadsheets and data.Recruits, hires, trains, and supervises student staff. May supervise other administrative staff.Assists in developing and administers department procedures and policies, handbooks, etc. Ensures compliance with Emory policies and procedures. Oversees and organizes storage areas and files, and archives information appropriately.Researches and compiles information for reports, presentations, publications, and activities, including chart and graph preparation. May draft grant applications and reports. Carefully edits documents into university style. Coordinates design and printing needs.Performs other related responsibilities as required.MINIMUM QUALIFICATIONS:Bachelor's degree in business administration, communications or a related field and three years of office administration or senior secretarial experience, or equivalent combination of experience, education, and training.Ability to manage confidential and sensitive information. High proficiency in various personal computer software applications including Excel, PowerPoint, and website and contact management software.Supervisory experience preferred.
