Gainesville law firm is seeking a motivated and energetic Bilingual (English and Spanish) Administrative Assistant.
Duties and Responsibilities:
Translate phone calls/meetings with clients
Translate written materials for clients
Provide back-up phone coverage for receptionist
Create and maintain case document and medical record files
Scan/Save case documents, organize electronic files
Order and maintain office supplies
Draft and prepare letters for mailing
Input client case expenses
Directly assist with office management
Maintain polite and professional communication via phone and e-mail
Set-up and manage conference calls and meetings, including the preparation and organization of meeting space and materials
Order food for business meetings (breakfast/lunch)
Act as office reception to all visitors and clients
Assist with marketing related events and sponsorship functions
Qualifications:
Two-five years working in an office environment
Critical thinking skills and high level of initiative
Strong attention to detail and good organization skills
Effective oral and written communication skills
Proficient in all Microsoft programs - especially Microsoft Word and Microsoft Excel
Ability to take direction from multiple staff members
Must be reliable
Hours:
8:30 - 5:00 / Monday - Friday
