We seek a Treatment Coordinator/Director for our office in Bluffton. This position will assist patients by communicating effectively and maintaining an organized administrative schedule, to assist the dentist(s) and clinician(s) in every way possible, enabling him or her to provide the most efficient, high quality dentistry to each patient. An exceptional approach to customer service is a critical component to this position. Dental work can, at times, be a daunting experience. Our Treatment Coordinator/Director works closely and kindly with our patients from start to finish through this process. This includes preparing the treatment plan from the doctors outline and notes, presenting it to the patient in a non-threatening, manageable way that is easy for them to understand and finally, closing the patient to accept the treatment as proposed by the doctor.

Responsibilities include:

Meticulously prepare and present treatment plan and financial estimates to patients for all prescribed treatment.

Schedule patient treatment appointments; reschedule follow up and missed appointments and call patients who have not completed treatment.

Manage the Doctor and hygiene schedules to achieve utilization goals through efficient use of appointment time

Work with clinical team to effectively manage daily patient flow, providing communication and information to the appropriate individuals.

Effectively communicate and develop a strong working relationship with the Doctor and promote teamwork through cooperative and professional behaviors.

Assist patient with financial arrangements.

Complete insurance pre-authorizations for patients.

Handle all treatment paperwork including consent forms, policy forms and exit paperwork.

Check out patients and collect payments.

Act as patients main point of contact throughout entire treatment process “ following up, scheduling appointments, questions, etc.

Answer incoming phone lines.

Monitor main email account.

Ideal Candidates will have:

Minimum 5 years experience working in a similar capacity in a thriving dental office.

Working knowledge of dental insurance protocols; general ledger and insurance benefits.

Knowledge of dental operational and electronic records systems.

Experience with ADA, CDT and ICD-9-CM coding.

Excellent computer skills including Eaglesoft, Outlook and Practice Booster (or other patient communication programs).

Keen understanding of scheduling and financial systems.

Solid understanding of HIPAA and demonstrated ability to maintain patient confidentiality.

Excellent communications skills, gracious and friendly demeanor and polish to deliver exceptional service.

Top-notch organizational skills, strong attention to detail.

Contributed positively as a member of an effective team by working and interacting in such a way to build and enhance teamwork both in the clinic and in the overall organization.

A sense of urgency to meet appropriate time frames and be able to successfully manage multiple projects simultaneously.

Ability to exercise good judgment in appraising situations and aptitude to make the right decision often with little supervision.

Previous experience handling confidential information with the utmost discretion.
