Job Summary

Windward Oahu based Power Generation Sales, Service and Maintenance company is seeking an Administrative Assistant who is resourceful, self-motivated and has strong organizational skills. They should also have a solid work ethic, strong computer ability as well as excellent written and oral communication skills.

We are a fast-paced Service and Maintenance provider that is experiencing incredible growth. This is an excellent opportunity for an administrative professional, or someone that has experience that would like to grow with our company.

Essential Duties

Transmit information or documents to customers, using computer, mail.

File and maintain records electronically.

Process and prepare memos, correspondence, travel vouchers, or other documents.

Perform administrative support tasks, such as proofreading, transcribing handwritten information, or operating calculators or computers to work with pay records, invoices, balance sheets, or other documents.

Answer telephones to help, screen, or forward calls, providing information, taking messages, or scheduling appointments.

Provide information about establishment, such as location of departments or offices, employees within the organization, or services provided.

Take orders for merchandise or materials and send them to the proper departments to be filled.

Schedule appointments and maintain and update appointment calendars.

Maintain files and control records to show correspondence activities (electronically and manually).

Read incoming correspondence to ascertain nature of writers' concerns and to determine disposition of correspondence.

Prepare documents and correspondence such as damage claims, credit and billing inquiries, invoices, and service complaints.

Process orders for goods requested in correspondence.

Education

This position requires a high school diploma (or GED or high school equivalence certificate). Some college courses are preferred.

Communicating with Persons Outside Organization Communicating with people outside the organization, representing the organization to customers, the public, government, and other external sources. This information can be exchanged in person, in writing, or by telephone or e-mail.

Mathematical Skills

Basic skills Ability to add, subtract, multiply and divide in all units of measure, to calculate rate, ratio and percentage.

Computer Skills

Email, Word Processing, Spreadsheets (MS Outlook, MS Word, MS Excel, Adobe Acrobat, etc) – must have

CRM Systems (Salesforce and Field Service Lightning) – preferred

Cloud Storage (Box, Dropbox, Google Drive, etc.) – preferred

Accounting Software (QuickBooks) – preferred
