Position Summary

Full-Time, Mon-Fri.

Salary, Non-Exempt

Under the supervision of the Clinical Administrative Supervisor, provides clinical and administrative support to the adult services clinical staff. Protects confidentiality of clients and client records in accordance with all applicable federal regulations.

Essential Functions

Maintains client files in storage room. Safeguards discharged client clinical files from unauthorized access. Functions as the primary person responsible for security of inactive files. Is responsible for retrieval of inactive client clinical files for clinical or administrative purposes.

Maintains file on responses to requests for clinical information.

Assists with the preparation of official correspondence and internal program communications as directed for mailing and/or distribution.

Assists Clinical Administrative Supervisor with maintenance and daily data entry of relevant client characteristics and status in program services including: admissions, discharges, follow ups and other quality improvement documentation.

Assists Clinical Administrative Supervisor with creating and distributing client related reports

Assists in preparation for audit, accreditation and program reviews by internal and external reviewers.

Maintains office supplies and client education materials for clinical staff.

Makes discharge certificates for clients at the request of counselors.

Clinical Secretary

Handles copying requests.

Will be cross-trained within the Clinical Admin Department to cover the front desk as Intake & Client Services Associate for lunch and or as needed, as well as manage the admit waitlist for the Addiction Care Coordinator.

Performs other related duties as assigned.

Qualification Requirements

High school diploma or GED.

Proficient computer skills, working familiarity with MS Office - Word, Excel, Access, Publisher, PowerPoint and Outlook. Type a minimum of 45 wpm.

At least two (2) years experience in office procedures or two (2) years of business office management education.

No criminal history, probation or parole for at least five (5) years and no history of involvement with Child Welfare Services for at least five (5) years.

Knowledge, Skills and Abilities:

Knowledge of office procedures.

Strong organizational skills. Ability to manage multiple projects.

Ability to work with and relate to clients with substance abuse disorders, including dually diagnosed.

Able to maintain accurate and concise records.

Able to work as a team member within Hina Mauka philosophy.

Must be well-versed in HIPPA and 42 C.F.R. Part 2.

Physical/Mental Demands

Light to medium physical effort; mostly sedentary work; occasional standing/walking; occasionally lifts supplies/equipment. May be exposed to infectious and contagious disease.

Protective Equipment: Use of non-sterile medical gloves. Ability to lift 35 lbs.
