Job Title: Facilities Manager

Job Status: Full-Time, FLSA Exempt

Work Hours: Monday - Friday, 8:00 a.m. - 5:00 p.m. Some evenings and weekends.

Job Summary:

Under the general direction of the Director of Campus Operations, the Facilities Manager leads the Honolulu Museum of Art (HoMA) Facilities Department. They contribute to a safe, secure, functional, and inviting campus by overseeing the maintenance, repair, groundskeeping, custodial, and general facilities management services across HoMA’s buildings and grounds, totaling seven acres and three sites. The Facilities Manager supports the planning, oversight, and coordination of major projects including safety, health, and environmental initiatives as well as capital projects.

Minimum Qualifications:

Bachelor’s degree in engineering, architecture, facilities management, construction management, or a related field. A relevant professional credential (e.g., International Facilities Management Association Certified Facility Manager) may be considered in lieu of a degree.

Five years of comprehensive related experience.

Extensive familiarity with the operation, maintenance, and repair of:

Mechanical, electrical, and plumbing (MEP) systems.

Life safety and security systems.

Building envelope (e.g., roofing and waterproofing) systems.

Steel, wood, and masonry structures.

Developed grounds and landscaping.

Experience with the planning and execution of construction and/or renovation projects.

Experience with integrated pest management (IPM).

Working knowledge of current federal, state, and local laws/regulations governing occupational safety, environmental compliance, life safety codes, building codes, and permitting.

Demonstrated experience leading a team, including applicant selection and training.

Demonstrated experience in budget preparation and management, including sourcing of services and equipment.

Proficiency in Microsoft Office.

Outstanding leadership and team-building skills.

Ability to maintain and cultivate supportive, can-do attitudes in a dynamic environment.

Ability to plan and execute multiple projects simultaneously.

Ability to coordinate activities, work collaboratively, and communicate with diverse stakeholders, to include contractors, vendors, and multiple departments across the museum.

Ability to embrace evolving technologies and processes.

Ability to take initiative, respond to emergencies or changing conditions, and make appropriate decisions in challenging situations.

Desired Qualifications:

Experience with facility management in a museum and/or visitor-oriented, mixed-use setting (e.g., hotel, event venue, tourist attraction, etc.).

Experience managing historic properties.

Relevant professional certification(s) from the International Facilities Management Association, Project Management Institute, Board of Certified Safety Professionals, or similar organization(s).

Essential Duties:

Provides overall direction and supervision of general maintenance, electrical, custodial, and groundskeeping staff.

Maintains and improves processes that drive optimal productivity within the Facilities Department.

Leads department recruitment processes and ensures staff are properly trained.

Ensures that MEP, environmental monitoring and control, life safety/security, building envelope, and structural systems receive preventive and corrective care.

Plans, coordinates, and oversees in-house as well as contracted preventive maintenance, corrective maintenance, and physical improvement activities across the campus.

Plans, coordinates, and oversees in-house as well as contracted inspection, testing, and certification activities across the campus.

Ensures the provision of requisite Facilities Department support to HoMA programs and other activities.

Ensures that presentation of the buildings and grounds is consistent with historic properties and HoMA aesthetic standards.

Oversees sustainable, responsible groundskeeping consistent with HoMA aesthetic standards.

Oversees custodial work and general campus cleanliness/hygiene.

Oversees the provision of fundamental workplace needs to HoMA staff.

In partnership with the Collections Department, oversees pest management.

Develops and oversees the Facilities Department budget within guidelines; obtains and reviews quotations and proposals for products and services.

Administers outside maintenance and repair contracts, maintaining positive working relationships with service contractors and suppliers to ensure coordinated support to HoMA.

Ensures that facilities management activities maintain compliance with federal, state, and city/county standards for occupational safety, life safety, construction, and environmental stewardship.

Supports accessibility initiatives across the campus.

Supports historical preservation initiatives.

Supports the development and implementation of capital improvements, master site plans, and other strategic initiatives.

Supports staff and visitor safety, protection of property, business continuity, and general emergency preparedness via effective application and collaborative refinement of HoMA’s Emergency Response Plan (ERP).

Demonstrates a commitment to fostering, cultivating, and preserving a culture of diversity, equity, and inclusion through respectful communication and cooperation with others at all times, continuous training, and modeling inclusive behaviors.

In partnership with the Human Resources Department, supports the museum leadership team in ensuring equitable experiences, strengthening inclusion acumen, and promoting a culture of inclusivity and belonging that embraces the contributions of all staff.

Carries out other duties as assigned by the Director of Campus Operations.

Working Conditions and Atmosphere:

Work can be performed with short deadlines and in sensitive, mission-critical situations. Regular office hours are required. Due to the nature of the responsibilities, evening and weekend work is sometimes required, and at times may be on an emergency basis. Ability to move items weighing 20 to 40 pounds, and occasionally up to 75 pounds, is required. Work will occasionally require ability to climb, balance, stoop, kneel, crouch, or crawl.
