General SummaryProvides technical and responsible administrative assistance for the Operations department; possesses a high level of professionalism and confidentiality.Essential Functions

Greets and directs department visitors;

Screens and answers telephones, answers basic inquiries and routes calls to the proper department or personnel;

Responds to inquiries regarding department and Ada County programs and services;

Opens and distributes mail to office staff;

Prepares and handles correspondence of a sensitive and confidential nature;

Proos material for accuracy, completeness and punctuation;

Assists or makes travel arrangements and processes registrations and travel related paperwork;

Distributes parking passes;

Maintain office supplies inventory by checking stock to determine inventory levels, anticipating needed supplies, evaluating new office products, placing orders for supplies and verifying receipt of supplies;

Creates Purchase Requisitions for department janitorial supplies and department office supplies:

Creates RPV vouchers for department as directed;

Monitor department leave requests, updates vacation calendar, and verify leave requests in Time Management;

Responsible for keeping the lobby/department area neat and clean to project a professional image;

Processes routine paperwork and/or enters data into a department log or database in the servicing of a customer;

Initiates service requests for needs affecting the entire department and utilizes Facility Dude software;

Schedules meetings and conference rooms, updates calendars, and creates meeting agendas;

Maintain various managers and/or department calendars as requested;

Develops and maintains Department Emergency Contact lists;

Composes letters, e-mails, and other correspondence, and disseminates information;

Generates various reports and proos documents.

ADDITIONAL FUNCTIONS:

Develops and maintains department files;

Assists with special projects;

Understand and complies with Ada County policies, laws, codes, and regulations;

Performs related functions as required.

Job Requirements

High school diploma or equivalent;

A minimum of 3 years of previous administrative support experience required;

Knowledge of office terminology, practices, and procedures;

Proficiently use of personal computers and work-related programs and equipment;

Knowledge of English grammar, spelling, punctuation and arithmetic;

Knowledge of Microsoft Word, Excel, and Outlook;

Skill in coordinating and prioritizing multiple requests from co-workers and managers;

Ability to establish and maintain records systems;

Ability to review documents for accuracy, completeness, and compliance;

Ability to compile data and information for reports and compose letters and memoranda;

Ability to communicate effectively verbally and in writing;

Ability to maintain effective working relationships with other employees, elected officials, department directors and the general public;

Ability to maintain confidentiality;

Ability to work independently and as part of a team to accomplish goals;

Ability to work under own initiative;

Ability to type documents and correspondence with a high degree of accuracy.

Work Environment & Physical Demands

Work is performed primarily in an office environment and the employee in this class is subject to inside environmental conditions;

May be required to lift up to 20 lbs.;

Requires sufficient personal mobility and physical reflexes, which permits the employee to function in a general office environment to accomplish tasks.
