Summary of Job Purpose:
Responsible for oversight of back office transactions, flow of business and general office duties.
Job Functions: (Position may include additional functions not listed)*
I. Banking:
⢠Approve transaction batches and review supporting documents prior to funding.
⢠Post transaction batches prior to money movement and transmitting wires.
⢠Assist General Manager with banking transaction oversight.
⢠Complete bank and trust software reconciliation.
⢠Run Sweep in trust software at close of business.
⢠Approve federal tax payments for IRA accounts.
⢠File Form 967 for State withholding payments.
⢠File Form 945 for Federal withholding payments.
II. Staffing:
Work directly with General Manager in the following:
⢠Continue to develop staff in their positions.
⢠Identify training needs and monitor continued progress toward goals.
⢠Interview and hire new back office employees.
⢠Promote ideas for staff for better and more efficient processes.
⢠Fast track solutions for issues with client service.
⢠Liaison for any problems staff is having that are affecting team motivation.
⢠Promote methods to run a smooth office with happy staff.
⢠Promote methods to save money/reduce expenditures.
⢠Promote methods to measure quality service.
III. Transactions
⢠Cross-train on all asset purchases and sales.
⢠Back-up on all transaction approval.
⢠Final review of all asset purchase/sale documents for completeness and accuracy.
⢠Scan documents to client files, upload to Act! contact database.
⢠Perform additional job duties as requested.
Qualifications: (Required knowledge, skills, abilities, education, experience, etc.)
⢠Minimum of 3+ years banking experience.
⢠Experience in compliance or equivalent.
⢠Strong writing and grammar skills are required.
