This position requires: design support, procurement coordination and oversight, office management, administrative functions, bookkeeping coordination, and professional communication.
Requirements and Tasks:
OFFICE ADMINISTRATION
Manage all business resources
Provide general office administration services
Provide support to the Leadership Team
Oversee calendar management and daily workflow for team
Provide initial welcome and customer service for clients and vendors
Interface with back office team in Boston
Manage bank deposits
Maintain office area efficiency and supplies
Maintain a high-level of professionalism
Coordination with IT company
DESIGN SUPPORT
Design library oversight and management
Samples coordination
Provide ongoing support to the design team and projects
Meeting and presentation prep / support
Procurement
Proposal formation
Project closeouts
Interface with design team and back office team
Vendor Services
Preferred Partner coordination
Qualifications and Experience:
Ability to multi-task and prioritize work
Experience in working in a fast-paced, small team environment
Strong attention to detail
High quality of decision making capability
Strong communication skills (written, verbal and presentation)
Proficiency in M.S. Office and other office productivity tools
Respect and adherence to confidentiality
Experience and ability to meet deadlines and dynamic schedule requirements
Basic knowledge of bookkeeping and records management
Professional personal appearance
REQUIRED: An extroverted, highly motivated personality. Great communication skills. Must enjoy extreme multi-tasking and supporting an energetic and progressive team. Applicant must be extremely adept with all types of technology and be an organizational expert. Extremely quick with work and technology. Comfortable with shifting daily priorities. Extreme confidence in self and skills. A daily quest for process improvement is a must. Must be energized working for an entrepreneurial owner who demands the best, all the time.
PREFERRED: Prior experience in fast-paced professional services firm.
