Mustang Monument, a luxury eco-resort located in Wells, Nevada is looking for an administrative assistant who will manage the office, communicate with the home office in Rancho Santa Fe, CA, assist with accounts payable, check in and check out guests, complete gift shop sales and other hospitality duties as assigned.

This is a seasonal position from May 15, 2019 through September 30, 2019.

Housing is available on site.

Administrative Duties

Work closely with office staff and on-site manager, including but not limited to:

• Handle all incoming general inquiry calls; direct the caller to proper departments.

• Order and maintain office supplies.

• Maintain iPhones and help trouble shoot issues on a PC and Mac.

• Assist Accounting department to scanning and sending invoices and receipts.

• Assist Accounting department running reports.

• Assist Accounting department in maintaining petty cash and credit card receipts.

• Maintain files.

• Work with ranch managers and employees to obtain payroll info etc.

• Manage email and replies

• Handle guest charges at the ranch including payments for reservations and activities.

• Complete guest purchases in the gift shop.

• Assist guests with service and general needs.

• Other duties as assigned including helping with general hospitality tasks.

Qualifications

• Positive attitude and great work ethic

• Strong communication skills, both oral and written

• Professional phone etiquette, ability to answer incoming and place outgoing calls

• Excellent time management, organization, and prioritization skills

• Ability to multi-task and handle interruptions and changing priorities

• Be proactive and take initiative, ask questions.

• Skilled understanding of Microsoft Office: Word, Excel, Outlook

• Knowledge of QuickBooks a plus

• Hospitality experience required, restaurant or hotel.

Some college preferred.
