Job Description

The

Physician Operations Coordinator reflects the mission, vision, and values of NM, adheres to the organization’s Code of Ethics and Corporate Compliance Program, and complies with all relevant policies, procedures, guidelines and all other regulatory and accreditation standards.

Responsibilities:

  • Serves as on-site lead for resolving escalated patient issues in-person or over the phone; resolves complex or critical situations involving patients and customers.
  • Screens incoming email, mail and telephone calls to assign priority, route as needed, identify additional resources needed to address and/or respond to the communication.
  • Independently performs high level technical and administrative work supporting a Plastic Surgery provider and the division or unit he/she is responsible for.
  • Performs schedule maintenance activities such as opening and closing clinic templates and coordinates care alternatives for patients impacted by changes.
  • Registers patients and schedules or coordinates the scheduling of appointments. Provides patient education information and/or materials as needed.
  • Answers all incoming inquiries from patients, providers, staff and others related to all aspects of practice operations.
  • Facilitates the resolution/prevention of billing errors and denials including obtaining pre-certifications or referrals as needed.
  • Maintains a strong relationship with patients, internal providers and staff, external hospital departments, physician offices and vendors.
  • Communicates with patients and/or clinical staff as necessary to ensure patient compliance with prescribed treatment plan.
  • Assists Practice Manager with data collection and analysis related to physician productivity and resource utilization.
  • Supports department with other projects, including department web-site maintenance and improving prior authorization and point-of-service collection processes.

Additional Functions:

  • Review and approve automated time reports for accuracy.
  • Develop tools to support staff and enhance efficiency.
  • Provide input into staff performance reviews. May participate with manager in conducting staff performance reviews.
  • Provide one to one coaching and mentoring.
  • Plan, execute and resolve all routine technical needs of the practice (phone, copiers, fax machines, PCs, etc).
  • Monitor daily transaction activity to ensure compliance with procedures.
  • Resolve complex or critical situations involving patients, staff and customers: consults with manager for guidance as needed (e.g., complaints, discipline, etc.).
  • Schedule staff and allocate resources across hours of operation to maximize patient access and satisfaction, provider productivity and efficiency, staff productivity, cost-savings, and operational efficiencies.
  • Develop and implement policies and procedures as needed to support the practice.
  • Complete other duties as assigned.

Qualifications

Required:

  • Bachelors degree or equivalent work experience.
  • Minimum of three years work experience in a medical or related business.
  • Comprehension of insurance plans including HMO, PPO, POS, commercial, Medicare, Medicaid.
  • Solid understanding of patient flow in a medical office.
  • Leadership experience.
  • Working knowledge of medical software, Word and Excel.
  • Experience managing daily cash activity and reconciling income reports with daily payments.

Desired:

  • Knowledge of CPT and ICD-9 coding.
  • Supervisory experience.
