Qualifications:
Responsible for planning, directing, coordinating and managing daily operations individual organization units, clinical research facilities, centers or academic departments. Responsibilities are diverse and general in nature and may reflect more than one functional area.
Project Administrator (Non-Technical) Manages all aspects of non-technical (not information technology or construction related) projects from conception to completion. Assembles teams and develops detailed work plans, schedules, project estimates, resource plans, and status reports while being the point of contact for those projects. Manages the integration of vendor tasks and tracks and reviews vendor deliverables. Requires knowledge and experience in own discipline; still acquiring higher-level knowledge and skills. Builds knowledge of the organization, processes and customers. Solves a range of straightforward problems. Analyzes possible solutions using standard procedures. Receives a moderate level of guidance and direction.

Hybrid Role: Onsite 3 and remote 2 days
Responsibilities:
The job coordinates non-technical (not information technology or construction related) projects from conception to completion. Assists with the assembly of teams and the development of detailed work plans, schedules, project estimates, resource plans, and status reports using straightforward problem solving skills.
1) Coordinates events, researches logistics, assists with planning and preparing presentations, event outreach, and post-event write ups.
2) Assists with researching funding opportunities, preparing grant proposals, and drafting and/or editing other written materials with moderate guidance.
3) Maintains website (including but not limited to: employment page, news page, staff page, project pages, innovation challenge page).
4) Assists with other administrative projects as needed and acquire higher level guidance and skills.
5) Performs other related work as needed.

Specific Responsibilities
1) Support the development, implementation and management of strategic and tactical marketing programs to meet the financial goals and priorities of the university.
2) Manage an extensive portfolio of digital media, editorial, print and other projects in Communications department by serving as the liaison between creative staff and clients and between creative staff and external vendors.
3) Ensure timely completion of projects and provide all levels of support required by creative staff to deliver superb digital, editorial and design work within the context of branding guidelines.
4) Participate in the strategic, creative development, production and evaluation of client & partner communications and development campaigns.
5) Develop schedules and project plans for print and interactive projects based on Communications department's sequence.
6) Track projects and workload throughout Communications department to make recommendations about resources, staffing, outsourcing and related matters.
7) Work with clients and Communications department's staff to develop annual communications calendars for departments and units.
8) Manage and document projects from initial contact to delivery and evaluation.
9) Lead regular internal and client meetings as required by the complexity of projects.
10) Develop and maintain project management systems on a platform that is supported and shared among all Communications teams.
11) Report regularly on project status.

7) Required experience with PM tools, such as Wrike or MS Suite.

Work Setting
1) Standard office environment.
2) Willingness and ability to travel to campus and/or non-campus locations for University business.
3) Willingness and ability to work evenings and weekends.

1) Self-motivation and the ability to take initiative. Ability to prioritize multiple projects and independently follow through with detail.

Education, Experience, and Certifications
Minimum requirements include a college or university degree in related field.
Minimum requirements include knowledge and skills developed through 2-5 years of work experience in a related job discipline.

Preferred Qualifications
1) Professional work experience in a communications environment such as in-house corporate communications services, advertising agency, public relations firm or similar professional work experience.
2) Experience working with creative staff, clients, printers and other vendors.
3) Familiarity with project management software.
4) Ability to manage multiple project simultaneously while adhering to established deadlines.
5) Understanding of integrated marketing social media, digital, event marketing, email marketing and print.
