ACEware Systems, Inc., a privately owned company in Manhattan, KS, develops course registration software and provides user support for their continuing education customers. ACEware customers include universities, technical schools, community colleges, and community education providers around the nation.
We are searching for an individual to join our team in a part-time capacity (15-20 hours per week.) For the right individual, this position could become a full-time and benefits eligible.
The responsibilities of the office assistant will include semi-monthly payroll preparation, the administration and oversight of customer agreement renewal processes, coordination of tradeshow participation, accounts receivable and payable processes companys annual conference.
Office Assistant Job Duties:
Track and report PTO for semi-monthly payroll preparation
Manage accounts receivables & payables
Administer customer agreement renewal processes sending renewal information, monitoring customer account status, and providing customer follow up as required
Perform monthly account reconciliations
Serve customers by answering phone calls, confirming support needs, and directing calls to the appropriate staff member
Coordinate tradeshow preparation register company, communicate with show managers, prepare and ship exhibit materials
Make travel arrangements for staff as requested
Process travel reimbursements
Order office supplies as needed
Collect and review incoming mail
Support with coordination of annual conference
Skills and Qualifications to be Successful
Related experience in office management preferred
Ability to work independently
Strong problem solving skills
Ability to create and edit Excel spreadsheets
Familiarity with accounting software programs
Experience with customer service and client communications
Experience in the use of a multi-line telephone system
Proficient with MS Office applications (Word, Excel, Power Point)
Knowledge of Adobe application
Good communication skills, including basic writing and copy editing
Ability to prioritize work and meet deadlines
