Job Title: Office Manager / Legal Assistant

Job Summary:
The Office Manager / Legal Assistant is responsible for overseeing and handling the day to day administrative activities and operations of a boutique law firm on Metairie Road in old Metairie, including office organization, preparing and filing client correspondence and files, handling scheduling, and managing and processing client bills with the attorneys utilizing the Firms billing platforms and facilitating electronic billing submissions. We have a small friendly, professional office, and we are seeking a smart, hard-working and engaging person to help run the office. The Office Manager / Legal Assistant reports directly to the Managing Partner.
Responsibilities:
Copying and scanning documents and organizing physical files and electronic files
Greeting clients
Composing letters and email correspondence in line with instruction and/or dictation
Creating and organizing client files; and creating contact cards (vCards) for new clients
Keeping Managing Partners schedule
Running errands occasionally
Answering phone calls
Ordering office supplies
Coordinate with attorneys and clients to generate, distribute, edit, and finalize legal bills through various billing formats, including a paperless prebill software system.
Entering/typing billable time entries of Managing Partner into billing software
Facilitate resolution of e-billing issues.
Prepare reports and materials necessary to track billings.
Maintain master client files in the Legal Billing system.
Perform additional administrative duties and billing duties as assigned by the Managing Partner.
Minimum Acceptable Qualifications:
Excellent typing skills
Professional appearance and personal/phone manners
Proficient in Microsoft Office applications, including Word and Excel; experience with a Legal Billing system and strong technology skills is a plus.
Knowledge of Google applications preferred
Candidate must be friendly, able to think on their feet and solve problems.
Ability to perform basic math calculations.
Ability to multi-task with attention to detail.
Excellent written and verbal communication skills.
Ability to handle a moderate volume of billings per month.
Ability to work overtime, as needed.
High school diploma or Associates Degree; College degree is preferred but not required.
Valid drivers license and transportation is required.
Law firm or professional services experience relating to intellectual property matters (patents, trademarks, copyrights, etc,) is preferred but not required.
This position requires sitting for long periods of time while operating a computer. At times, employees are required to work in excess of the normal work schedule. Employees in this position must be mobile, have the ability to bend, and have ability to lift and carry files weighing approximately 10-15 lbs.

Experience:
Office experience is not required but proven work experience as an office manager, secretary or administrative assistant is strongly preferred. Office experience at a law firm or similar professional office environment is another plus.
Billing experience, particularly Bill-4-Time billing platform experience is Preferred
