Job Description

Starting hourly rate $15.00-$17.00, depending on experience

This is an entry-level accounts payable position with some receptionist duties

Job Summary:

1) Compute, classify, and record numerical data to keep financial records complete.

  • Perform any combination of routine classification, posting, and verifying duties to obtain primary financial data for use in maintaining accounting records.
  • Check the accuracy of figures, calculations, and postings pertaining to business transactions recorded by other workers.
  • Review invoices for discount potential, late fee analysis and remedy, if any.
  • Review vendor statements, if available, to ensure balances are current.
  • Identify EFT payment opportunities thru WEX ADP program or bank draft (ACH)

    2) Represents the Agency in all interactions with other members of the Goodwill community and with the general public, supporting the agency vision of creating sustainable communities that thrive through the fullest participation of their diverse residents.

    3) Furthers the organizational commitment to triple bottom line results: integrating social, economic and environmental goals into thinking, planning and actions.

    Essential Functions:

    Communication

    • Contacts vendors to obtain additional supporting data when necessary.
    • Provides procedural instruction regarding Purchase orders, invoices, statement and other accounts payable paperwork.
    • Effectively communicates with all internal customers regardless of their areas of responsibility in a courteous and professional manner.
    • Maintains strict confidentiality of information generated or gathered through the Accounts Payable process.

    Knowledge

    • Maintains an understanding of the Chart of Accounts and their use in the Accounts Payable function.
    • Understands how to prioritize duties in relation to month end and year end closings.
    • Maintains and improves understanding of data received and its relationship to the general ledger.
    • Acquires new knowledge, skills and certification through self-study participation in education and training programs and certification courses as directed.

    Administration

    • Enters and verifies accounts payable data and corrects any errors with appropriate speed and accuracy.
    • Accurately maintains files of invoices and supporting documents.
    • Insures that appropriate authorizations have been received before payment of invoices.
    • Performs financial calculations such as amounts due, discounts, balances, and credits.
    • Prepares cash needs reports prior to check run.
    • Prepares checks and credit card payments on a weekly basis.
    • Logs checks and cash into Accounts Receivable report, prepare deposit and scan checks to bank daily.

    Qualifications

    • Successfully pass a criminal background check the meets agency standards.
    • Twoyears of experience in Accounts Payable.
    • High school diploma or equivalent.
    • Demonstrated understanding of basic accounting terminology and procedures.
    • Demonstrated intermediate proficiency with MS Excel and MS Word.
    • Demonstrated knowledge of office practices and procedures.
