General summary/purpose:Responsible for the coordination of medical staff appointments and credentialing activities for faculty, fellows, medical staff and others in the department. Provides administrative support for dept administration and medical education program. Serves as a resources and liaison between contacts throughout Johns Hopkins Medicine and contacts throughout the department.Specific duties & responsibilities:Credentialing duties Serves as Credentialing Coordinator in all matters of JHH/JHU/ JHMI processing requirements for new and reappointed primary and secondary faculty, clinical associates, and others as assigned. Serves as liaison to insure everyone follows rules, regulations, and obtains appropriate licensure. Serves as liaison between faculty, HR, Administrator and MSO offices to ensure processing of credentialing verification and issuance of clinical privileges by the date requested by the Department. Coordinates new medical staff onboarding and orientation activities. Creates credentials-related reports for Chairman, Administrator, HR Manager, division managers, division chiefs, search committees, etc. Creates and maintains databases to track reappointments, credentialing end process for Medical Staff automate the credentialing and medical staff process for the department. Tracking of risk management compliance for all Orthopaedic medical staff. Tracking of medical licensure compliance for all Orthopaedic medical staff. Monitors completion of certain compliance training courses and background check requests. Performs tasks for online ECFMG certification and Student Clearinghouse degree verification, or Medical Staff Administration office and Central Verification office as needed. Accurately and consistently prepares documentation, presentations, and correspondence. Communicates and seeks advice when possible issues occur during credentialing process. Trains others in credentialing matters. Educates and informs faculty and division personnel about credentialing policies, procedures, and time frames. Serves as support and back up resource for Visa processing. Works with HR, Medical Education Administrator, and Office of International Services. Assists in processing H visas for medical and research faculty, post-docs and house staff. Also assists in processing all clinical J1 ECFMG visas for post-docs and house staff. Works with the Office of International Services to ensure deadlines are met. Coordinates with JHU Billing to ensure timely completion of faculty billing applications. Tracks medical licensure compliance for all Orthopaedic medical staff. Works closely with HR Coordinator to ensure that salary information is accurate and up-to-date.Administrative duties Assists with planning/setup for special events, meetings/training, including room reservations, set up, ordering supplies and food if needed, tracking attendance, preparing handouts. Works on special projects and other assignments, as needed.Travel RequirementsMay be required to travel to other Johns Hopkins locations, as needed.ScheduleOvertime may be possible when authorized/needed to meet business and patient needs. When necessary, department may determine required attendance in the event of disaster or weather emergency, some staff are required to report to work.Scope of ResponsibilityKnows the formal and informal departmental goals, standards, policies and procedures that may include some familiarity of other departments within the school/division.Decision MakingOn a regular and continuous basis, exercises administrative judgment and assumes responsibility for decisions, consequences, and results having an impact on people, costs, and/or quality of service within the functional area.Special knowledge, skills, and abilities: Administrative professional with intermediate to advanced computer experience using Microsoft Office. Experience working in patient care environments. Experience working in support of medical professionals in a clinical and/or academic environment, strongly desired. Exercises independent judgment in the resolution of problems, prioritizing of workload. Serves as a team and department resource. Operates personal computer to access email, electronic calendars, and other basic office support software. Knowledge of SAP, highly desired. As this individual works in a patient care and employment setting, he/she must be knowledgeable of HIPAA, pathology medical records policy, quality assurance and confidentiality policies.Technical qualifications or specialized certifications:Computer (85%) including web-related software and hardware. Copier, Fax, Scanner, Phone, Printer, etc.Any specific physical requirements for the job: While performing the duties of this job, the employee may remain in a stationary position (sitting) up to 80% of the time. The employee is required to operate computer keyboard frequently throughout the day and for prolonged periods. Prolonged vision requirements including viewing computer screen, paper reports/documents. May transport equipment and supplies usually less than 30 pounds from one area to another. In some areas, workspace is confined.Minimum qualifications (mandatory):

High School Diploma/GED.

3 years related experience.

Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.Preferred qualifications:Bachelor’s degree. Previous experience in human resources, medical credentialing, or visa processing highly preferred.JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.
