We are currently seeking a Clinical Operations Coordinator to support the National Institutes of Health (NIH) in Bethesda, MD.This is a long-term contract position which offers:

TASKS/SERVICES: The contractor shall:(1) Manage the processing of professional credentials for NIMH IRP physicians and other licensed professionals, from the assembly of credentialing packets to the final submission and ongoing renewal.(2) Coordinate the Office of the Clinical Director events and initiatives, including the Outstanding Resident Award Program.(3) Coordinate meetings, workshops and courses for staff.(4) Work with staff to determine objectives and requirements; generate format and agenda; monitor budget and expenditures of the event; organize transportation and travel reimbursement for participants and speakers; make arrangements (e.g. conference rooms, A/V); notify attendees.(5) Prepare FTE and NON-FTE personnel and trainee actions.(6) Process travel orders, to include arranging for flight, hotel, conference registration, auto and other reservations; retrieve airline tickets for staff when necessary; and process travel vouchers.(7) Arrange for staff member to represent organization at conferences and meetings, establish appointment priorities, or reschedule or refuse appointments or invitations.(8) Process supply orders via POTS with government approval and coordinate with vendors to ensure proper delivery and receiving of items.(9) Set up and format spreadsheets to analyze information.(10) Gather and analyze information about processes and programs; prepare reports, letters, and other documents for review and input for programs, policies, and activities.(11) Coordinate the printing and conversion of paper documents to electronic files.(12) Develop, maintain and utilize various administrative databases.(13) Compile data and create and maintain PowerPoint presentations for presentation utilizing computer programs.(14) Maintain contacts database; update/maintain calendars and shared calendars for multiple staff members.(15) Maintain office records including office procurements and reimbursement procedures.(16) Provide support with timekeeping duties.(17) Assist with annual reports, PubMed Central submissions and other publication-related duties.(18) Design and coordinate systems for communications among staff to facilitate the efficient flow of information relating to projects and program activities.(19) Maintain branch file systems for correspondence and projects.(20) Manage office calendars and schedule meetings/calls.(21) Perform office management and administrative support functions, such as answering telephone calls, taking/delivering messages, coordinating office supplies, preparing shipments, and obtaining signatures on documents as directed.(22) Note commitments made by executive level during meetings and arrange for staff implementation.(23) Read outgoing correspondence for executive level’s approval and alert writers to any conflict with the file or departure from policies or executive level’s viewpoints; make recommendations to resolve problems that arise.(24) In the executive level’s absence ensure that requests for action or information are relayed to the appropriate staff; decide whether executive level should be notified of important or emergency issues.(25) Summarize the content of incoming materials, specially gathered information, or meetings to assist executive; coordinate the new information with background office sources; draw attention to important parts or conflicts.(26) Maintain the time and attendance records for staff through the ITAS system.(27) Serve as custodian of personal property for assigned areas; maintain records of accountability; oversee property inventory; arrange for disposal of excess property.(28) Orient new personnel to the laboratory.REQUIREMENTS : The contractor ideally would have:(1) Bachelor’s degree in a related discipline. Four years of specialized experience plus a high school diploma is equivalent to a Bachelor’s degree.(2) Minimum of three (3) years of related experience.(3) Expertise in Microsoft Office Suite (MS Word, Excel, Outlook, PowerPoint).(4) Knowledge of NIH procurement, travel and administrative systems.(5) Strong communications skills, both oral and written.(6) Excellent analytical, organizational and time management skills.PLEASE APPLY ONLINENote that the phone number for our NIH branch is not listed.
