We are a growing Biotechnology firm with an outstanding career opportunity for a motivated and experienced Executive Assistant to provide high-level support members of our Executive Leadership Team; mainly our COO and CFO.
The Executive Assistant must be exceedingly well-organized, flexible, proactive, resourceful and efficient with the interest and ability to interact with all levels of the organization in representing the executive team.
Key Responsibilities in support of Executive Leaders include:
Demonstrated ability to manage schedules and competing priorities
Managing expense reporting in a timely manner
Arranging complex and detailed travel itineraries and compiling documents for travel-related meetings
Working closely and effectively with both executives to keep them well informed of upcoming commitments and responsibilities, following up appropriately
Coordinating and managing Executive Leadership Team meetings including with the Board and external corporate partners
Supporting communication from the CEO across the organization
Building solid relationships with employees, maintaining organizational knowledge in support of the CEO
Coordinate and attend Executive Leadership Team meetings
Skills/Requirements
College degree with 7+ years of related work experience supporting at the executive level
Professional, courteous and mature demeanor
Expertise with MS Office applications (Word, Excel, PowerPoint and Outlook)
Strong organizational skills and superior attention to detail
Exceptional interpersonal skills and the ability to build relationships with stakeholders, including staff and board members
Expert level written and verbal communication skills
Demonstrated proactive approaches to problem-solving with strong decision-making capability
Highly resourceful team-player, with the ability to be extremely effective independently
Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
Ability to provide support during scheduled meetings and events that occur outside of regular business hours
