North of Boston small and fast-growing accounting and tax firm is seeking a full-time receptionist/administrative assistant position.
Job Type: Full-time benefited position available immediately
Experience:
Receptionist/Administrative Assistant: 2 years experience required
We are looking for a receptionist/administrative assistant who will manage the front desk on a daily basis and perform a variety of administrative and clerical tasks. Energetic and able to multitask and prioritize daily workloads is a must.
Responsibilities include, but are not limited to:
Answer all incoming calls (transferring calls, screening, taking messages)
Organize and schedule meetings and appointments
Receive and sort daily mail
Handle sensitive information in a confidential manner
Greet guests and ensure client/office meetings flow easily (ordering lunch, conference room prep, meeting materials, etc.)
Manage the upkeep of the office (cleaning of kitchen and conference rooms, standard office maintenance, etc.)
Organizing and reordering office supplies for the entire office
Communicate with clients via phone and email
Manage constant contact and our website
Manage Outlook
Track FedEx shipments
Processing tax returns
Scanning tax documents and other necessary paperwork
Bank deposits
Track invoice payments in our practice management system
Enter invoices and payments in our practice management system
Manage administrative functions of the office

Requirements:
Previous experience in accounting industry is preferred, but not required
Microsoft skills with extensive knowledge of Word, Excel and Outlook are required
Exceptional customer service skills
Organizational skills to effectively coordinate and complete a variety of tasks in a timely manner and streamline workflows to improve efficiency
Ability to work in high-pressure and fast-paced work environment
Strong communication skills, written and oral
