  • GENERAL STATEMENT OF RESPONSIBILITIES: The part-time Office Assistant will be responsible for providing clerical support to the Department of Arts & Communication & Department of Social & Behavioral Sciences & Human Services. Responsibilities include maintaining department records, preparing agendas & minutes of departmental meetings, processing supply orders, & general office/clerical duties. Hours will be 8:00 am to 2:00 pm three days a week during the academic year. EXAMPLES OF DUTIES: Assist Department Chairs with procedural operations of departmental business. Provide high quality customer service to students, faculty, staff, & the community. Create & maintain departmental files. Prepare monthly department meeting agendas & applicable paperwork; attend monthly department meetings & record & transcribe monthly department meeting minutes. Order all departmental supplies. Keep track of faculty attendance & submit weekly report. Communicate with students & College departments as appropriate. Answer telephone calls & emails. Provide routine information according to established procedures. Receive & distribute incoming mail & packages, etc., to appropriate individuals in the departments. Operate st&ard office machines & equipment. Assist with annual Media Conference. Assist with grant-related administrative functions such as: time & effort tracking, proposal & report preparation, prooing & editing & requisitions & purchase orders. Perform other duties as assigned. Requirements: MINIMUM QUALIFICATIONS: Strong communication & organizational skills, attentiveness to detail & demonstrated clerical experience. Ability to work amicably & tactfully with students, staff, & the general public. Excellent time management skills, aptitude for proper task prioritization & a results-oriented work process. Ability to type & familiarity with MS Office. Strong document management skills including the ability to assemble items of information, work accurately with names, numbers, codes, & symbols, maintain accurate records & file materials in accordance with established procedures. Additional Information: COMPENSATION: $17.00 per hour, 18 hours per week during the Academic Year (September - May). Non-benefited, Non-unit Position.
