Job Title: Bookkeeper

Report to: Property Manager, Controller

Essential Job Function:

Responsible for daily deposits and daily receipts register.

Record deposits in computer system.

Research, adjust, and clarify any receivable questions to the property manager and with tenants who may dispute a balance/payment or may want to make a payment agreement.

Complete monthly maintenance system including auto billing and month end closing. Run month end reports. Reconcile cash account, security deposit account, bad debt account, rent loss, gross potential rent, damage account, vacancy account and if applicable, excess income account. Provide written explanation to the controller of gross potential rent variances.

Contact local housing agencies (HAP, HHA, SHA, ect.) with regards to any outstanding receivables.

Preparation of 30-day notices and resident/government receivable reports.

Assist the manager in handling housing court cases by appearing on behalf of the project and having the case file prepared with rent ledgers, payment plan agreements or failed agreement.

Constant communication with property manager regarding receivable status including delinquent payments and court agreement.

Prepare security deposit return forms.

Process all subsidy claims, i.e. vacancy and damage.

Provide and communicate appropriate internal and external reports for supervisors, government agencies such as DHCD, HUD or MassHousing for inspections, or for auditors.

Ticket payables for property manager.

Prepare and submit Excess Income report. Prepare year end reports for auditors including copies of bank deposits and written explanations of status of A/R.

Administrative back up, correspondence, letters, answer telephone, filing, etc.

Job Requirements:

High school diploma. Two year college or work related experience.

Use of Tools, Equipment, computer, ect: Computer, calculator, printer.

Standard Functions and Statements: Must be organized and be able to prioritize.

Working Conditions: Office scenario.
