Administrative Assistant: Part-time (approximately 8 hours/week)

Thyme Herbal - Conway, MA

Looking for an administrative assistant/office manager who is self-motivated, detail oriented, and flexible for small healthcare business. Thyme Herbal focuses on herbal education, offering a variety of classes as well as the sale of educational materials (books and posters). Our office manager will manage wholesale and retail sales of all posters and books, including inventory and shipping, as well as new account inquiries and marketing. Other tasks will include responding to and managing inquiries from prospective, current and past students, managing student registration and fielding questions related to such. This position also involves managing social media accounts (Facebook and Instagram) and web presence for purposes of marketing, outreach, and education.

While the ideal candidate will display a strong interest in our vision and organization, management skills are the priority.

The ideal candidate will:

have excellent written and verbal communication skills

be comfortable returning emails and have great customer service skills. Be able to clearly and consistently manage communication with customers and students.

be able to evaluate all incoming inquiries email and social media.

be dedicated, dependable, very organized and detail oriented, with excellent follow through.

have basic editing skills for written materials.

manage sales and marketing in the way of admissions to our educational programs and sales of educational materials.

be social media savvy and create consistent and successful social media entries (Facebook and Instagram).

have excellent bookkeeping experience and computer knowledge including QuickBooks for Mac, Word, Excel, Adobe Creative Suite (InDesign, Photoshop, Illustrator).

have basic knowledge of Vimeo and Youtube.

knowledge and experience with Wordpress a plus.

be capable of design projects such as newsletters, flyers and website updating.

be able to create new systems, streamline existing systems and help increase efficiency as needed. The right person is a pro-active, self-starter but must also be able to take direction, follow instruction and ask questions when they arise.

manage accurate record keeping, filing, invoicing, inventory, filling orders, packaging, and shipping.

must work well with deadlines, work scheduled shifts and be timely. Track work progresses and be accountable. This person will work directly with the owner and make sure any personal tasks and schedules are taken care of.

be great at switching between projects on a daily basis and have a willingness to learn new skills.

run occasional errands and complete occasional cleaning tasks.

manage task lists and monitor progress of tasks.

be able to keep confidentiality.
