Energetic and experienced office help needed for a small but rapidly growing busy office in Holyoke. Our office is the headquarters for both a food distribution company and a transportation company that hauls our own as well as third party freight. Every day is dynamic and different!

We are looking for someone with prior office experience, great written and verbal communication skills, who is comfortable using Microsoft products including Excel & Outlook, and who has the ability to multitask, troubleshoot, and problem-solve. Although each day is different based on customer issues or driver delays, there are some key components of this position that will remain consistent.

This person will be a responsible for monitoring, editing, and reviewing the transportation company's electronic log device or ELD system (currently Omnitracs XRS). This involves learning department of transportation laws and requirements, investigating and recording log violations, troubleshooting errors with drivers and contacting the ELD company's customer support for guidance when needed. This person will notify all drivers when updates or changes are required by sending out group emails. Although experience with an ELD system is not necessary and training will be provided, some level of comfort and interest learning new programs/software is required. Attention to detail and organization are also critical for this role.

This person will also be responsible for

reviewing and sorting weekly driver paperwork, entering payroll and dock time information into various Excel files, making sure all necessary materials are turned it, and contacting drivers via phone or email when items are missing.

As new drivers are hired, this person will assist with the on-boarding process and will also send out updated payroll/compliance info to existing drivers as needed. In doing so they will take on somewhat of an human resources role at times as well.

Other daily tasks may include:

-Answering phones/sending emails in a professional manner for both companies

-Making copies, labels, and other shipping paperwork

-Creating invoices and checking them against delivery paperwork for discrepancies, researching any discrepancies as needed
