Summary: Responsible for the coordination of onboarding processing for prospective Volunteers, to include but not limited to incoming calls and scheduling of prospective interviews, data bases maintenance, initiate and follow up with security and health services clearances and onboarding coordination . The Volunteer Coordinator will work with the Volunteer Manager to support the vision of the programing in recruiting, orientation and recognition of Volunteer in their roles at Baystate Medical Center and Springfield based entities. To support the development of programs and volunteer support options that provide meaningful experiences for our volunteer community and support our mission of quality care for our patients and visitors. Position requires advanced use of computer application for database management.To support the ongoing activities and functions of the volunteer programs in partnership with department management. Support the oversight of the Student Ambassador Program and other student opportunities. Support the partnerships with Community Health Planning and Community Agencies to support and develop appropriate volunteer opportunities for special needs.This description covers the essential functions of the position. Incumbent is expected to perform other similar and related duties as assigned. Management has the right to change or add to the job responsibilities at any time.Job Responsibilities: 1) Serves as front line representative for Volunteer activities including screening calls,scheduling interviews, greeting visitors and resolving basic volunteer issues.2) Responsible for managing and troubleshooting VSys database to ensure integrity of data. Completes a variety of complex analysis, reports, spreadsheets and other documents.3) Maintains departmental and volunteer supplies for daily operations4) Provides information and answers inquiries concerning general onboarding activities and operations in accordance with department and hospital procedures5) Insures completion of volunteer clearance process after selection by manager. Includes background checks, health service clearance, arranging volunteer and department specific orientations. Maintains open files of volunteer applicants. Collaborates with Security to obtain volunteer badges and disperses appropriate volunteer uniforms. Escorts new volunteers to assignments as needed6) Provides communication and information to Volunteers groups in collaboration with the Volunteer manager7) Maintains ordering and distribution of Volunteer Meal Vouchers in accordance to policy8) Schedules meetings, conferences room, catering including needed equipment in accordance with departmental procedures. Maintains business calendar for Volunteer programs9) Assists with organizing and facilitating events including annual Volunteer Recognition breakfast and student Ambassador ProgramRequired Work Experience: 1) Outlook, Word, Excel, General database utilizationPreferred Work Experience: 1) Office experienceSkills and Competencies: 1) Strong customer service and organizational skillsBaystate Health is an Equal Opportunity employer.
