As the Special Orders Clerk, you will assist our sales team with special order merchandise not currently available for purchase in our stores. The clerk will input data collected by the sales team and customer service to enter and track orders. After placing the order, the clerk will also maintain systems in place to provide up to date status of the items on order. The special orders clerk physically checks the item against the order for items arriving for store 1 and 2 and is generally the responsible for receipt of these items to ensure accuracy of customer order. The special orders clerk will communicate to the customers any delays or unavailability of the desired item and strive to locate a suitable alternative. Special Orders also places employee special orders. Attention to detail, excellent follow through, outstanding customer service and communication are required of this position.
Primary Accountabilities:
Place orders through vendor online system, email or via phone
Enter special orders into the computer database and associated spreadsheets
Maintain timely updates of special order in Crown Control
Answer phones promptly and professionally – respond in timely manner to voicemail
Teamwork oriented with the ability to work without direct supervision
Strong sense of pride and responsibility for the maintenance and organization of special order office
Process orders in timely manner to ensure customer satisfaction
Maintain high awareness of surroundings to provide safe and secure environment
Secondary Accountabilities:
Process through the in store POS system and mail out online gift card orders
Process store’s Amazon sales weekly through POS system
Keep track of and make reports of payments for employee special orders
Order parts, missing pieces, or supplies for all stores
Maintain an accurate inventory for store stock when orders are canceled
Skills Summary:
Enjoy connecting with customers and demonstrating an enthusiastic and positive attitude
Ability to operate computer systems with accuracy and attention to detail – strong knowledge of Celerant is preferred and prior experience with Quickbooks is highly desirable
Ability to work as a team player in a fast-paced environment, handling multiple priorities and quickly learning new procedures
Ability to communicate effectively with customers, vendors and co-workers (phone, email, or in person)
Ability to meet or exceed customer service standard.
Ability to communicate effectively with customers, peers and management
Adhere to Loss Prevention control and compliance procedures
Ability to work occasional night or weekend to support store events.
Ability to lift at least 25lbs and bend and lift to perform receiving aspects of the position are required.
Remote work is not an option for this position as the essential duties and full job requirements require physical presence in the company office and stores.
