We are a busy real estate appraisal office based in Missoula. We are looking for a detail-oriented professional with administrative experience to help further our mission. This position requires someone who is organized and has excellent written and verbal communication skills.

Administrative Duties:

Proficiency in Adobe, Word and Excel

Telephone Abilities (Requires clarity of speech, strong grammar skills)

Greet Clients and Customers as part of small office function.

Internet search skills & comfort with doing a variety of searches

Assist Appraisers with preparing files, formatting reports, and ability to create pdf reports

Creating & maintaining job roster, preparing invoices, keeping track of Accounts Receivable.

Bookkeeping Duties:

Know or can learn QuickBooks for payroll & twice a month payroll & payment of Accounts Payable; CPA can assist in learning.

End of Year Reconciliation; CPA Oversight

Quarterly Payroll tax reports; CPA Oversight

Various duties as needed or required.

Qualifications

Minimum 2 years administrative experience

Strong organizational skills and attention to detail

Ability to consistently adhere to procedures and protocols

Strong written and interpersonal communication skills

Proficient with Windows 10

Demonstrates positive attitude and strong work ethic

Able to manage and prioritize multiple tasks

This is a small office with 5 employees, one of which is located in Billings. Hours can be flexible but require the employee to be in the office (currently no remote work allowed). We have been in business since 1981 so there is the potential for long term employment. There is a need to be flexible in what the job description entails. Some work calling for verification of sales, leases and other market information is part of the job. Making sure there are office supplies available, liaison between vendors and the company, and overall office & administrative duties are essential.

The company does not offer health insurance but does offer a match for IRA contributions. The company will provide a paid one week vacation after 6 months on the job. After 3 years, the one-week paid vacation will increase to 2 weeks paid vacation.

There will be a year-end job performance. Next year compensation will be based on performance which includes being punctual, helpful and efficient. There is a degree of flexibility so understand the position is shown as full-time (8 am to 5 pm) but can be tailored to meet the needs of the employee, at least to some extent.

Will train for some of the required services.
