EDUCATION:

High school diploma or equivalent; 2 years dental experience preferred

JOB DESCRIPTION:

Coordinate, integrate, and represent all facets of patient services. Meet and greet patients, and make them feel welcomed and relaxed. Responsible for new patient transition into the practice, existing patient ongoing dental care, communication with patient during treatment, and communication with specialty offices. Answer the telephone, schedule appointments, communicate with patients regarding financial and scheduling options, maintain patient records and coordinate patient flow. Manage and control the daily, weekly, and monthly schedule in order to meet the practice production/collection goals.

PHYSICAL REQUIREMENTS

o The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee may be regularly required to sit for long periods. The employee must occasionally lift and/or move up to 20 pounds.

DUTIES

o Provide overall patient and practice support assistance to team members within the practice

o Operate office equipment; voicemail systems, computer applications, word, excel, powerpoint, fax and copy machines

o Use word processing, spread sheets, and other software to prepare reports and presentations

o Keep the doctor and hygienists productively busy throughout the day

o Schedule all appointments and detail procedure and time needed

o Stabilize production by booking the ideal day concept or block-scheduling method

o Maximize time efficiency in scheduling by using software effectively

o Check lab cases are properly submitted and received

o Assist the office with telephone support to ensure patients and team needs are met in a timely manner

o Assist patients with the completion of new patient documents, conducting patient interviews over the phone or at the time of first appointment

o Conduct a verification of patient insurance coverage

o Record patient insurance information within the patient chart

o Greet patients by name and update contact and insurance information as appropriate

o Alert appropriate staff of patient arrivals

o Direct patients and families to appropriate locations

o Actively monitor the schedule throughout the day to insure that all runs smoothly

o Adjust schedule as necessary

o Make sure there are open times in the day to provide flexibility for emergencies and new patients

o Reschedule late patients and any no-shows that occur throughout the day

o Check account balances of patients coming in and prepare to discuss any monies due

o Perform an effective morning huddle to cover production, collection, open time, and opportunities

o Keep team informed of next available openings and possible no-shows

o Call any patients that are late to update status

o Register new patients and provide necessary forms

o Organize and maintain all file systems

o Keep track of all unscheduled patients, broken appointments and last minute cancellations

o Prepare doctors call list

o Record treatment in the patient chart

o Assist with financing explanation and application

o Perform patient walk-outs

o Collect payments from patients

o Prepare correspondence and assist team with preparation

PATIENT MANAGEMENT

o Greet new patients

o Review health histories

o Set up consultation room for consult appointments

o Maintain a professional reception area/office

o Organize patient education materials, straighten up the facility, report any larger maintenance issues to management

o Send copy of patient record for consultation with specialists

o Arrange referral appointments and manage communications with specialty offices

o Securely store and handle patient records in compliance with legal requirements, including HIPAA privacy and security regulations

o Present treatment plans to patients

o Arrange payment plans with patients

o Call patients after a difficult treatment visit

o Follow up to appoint unscheduled treatment

OFFICE PARTICIPATION

o Be an active participant in team meetings

o Increases knowledge and skills through self-study and by attending courses and seminars

o Attend mandatory trainings / team building activities

o Perform other tasks as assigned by the dentist

HOURS

Full-time

Tues-Fri 8:30am-6:30pm

EARNING POTENTIAL

Hourly pay depends on experience + benefits and bonus incentives. Unlimited earning potential through bonus program.
