Martis Camp is a private community located in Truckee, CA. The Association Coordinator is a key member of the community association team that manages the HOA and the property. The primary responsibility is to support all administrative functions of the association and General Manager.

Essential Duties/Responsibilities:

-Takes detailed messages, arranges conference calls and or meetings

-Reads and routes incoming mail. Locates and attaches appropriate file to be answered by GM.

-Supports the GM with the handling of homeowner requests.

-Under the direction of GM, organizes and maintains association records, documents, and homeowner correspondence with relation to association business procedures. When requested, composes correspondence and communication for same. Assists with all administrative functions and keeps all records in good order and keeps community forms and documents current and updated. Makes copies of correspondence or other printed materials, prepares outgoing mail and correspondence, including email.

-Organizes and maintains filing system and files

Creates new forms and maintains procedure manuals

-Coordinates and arranges meetings, prepares agendas, and books facilities and coordinates refreshments, records and transcribes meeting minutes. Uploads minutes and documents to website.

-Maintains applicable database. Updates websites- including meeting dates, meeting agendas, meeting minutes, board rosters, and community events.

-Assists in coordinating with GM outside contractors for road work, gatehouse repairs and forestry work.

-At the request of the GM and Board of Directors, attends regularly scheduled board meetings, and assists in administrative tasks and recording of meetings. Additionally, assists with annual members meeting handling notices, and elections.

-Prepares meeting packets, prepares and mails (or delivers) to board members prior to scheduled meetings

-Contributes to the publishing of the “Campfire” newsletter

-Assist new members/homeowners and real estate professional with copies of required documents.

-Coordinates and prepares all documents for our Firewise Community Certification

-Assists in grant writing for forestry work performed on the 2100 acres

-Assists in administrative tasks for the General Manager/ Director of Greens and Grounds.

Qualifications:

Some working knowledge of management practices, accounting procedures and association CC&Rs and Bylaws helpful but will train.

High School Diploma or equivalent; two year or four college degree preferable

Excellent communication skills, both oral and written

Customer service driven

Proficient in Microsoft Word, Excel, Outlook and PowerPoint

Strong organizational and time management skills

Ability to multi-task

Requirements:

Must pass a pre-employment drug screen (this includes marijuana)

Valid Driver’s license with clean driving record (to be insured on the Community plan)
