Experience Required: Previous experience in office management, administration, and Accounts Receivable/Accounts Payable, vendor management, and customer management.

Summary of Position: Global IT company headquartered in Incline Village is seeking a part time experienced Office Manager to run all day-to-day operations of a business, including but not limited to: working with vendors and customers over the phone, managing QuickBooks financial accounting software, managing accounts payable and receivable, purchasing office supplies, and managing all company administrative processes and procedures.

With minimal supervision, office manager will perform various tasks including, but not limited to:

Basic filing and labeling of files, meticulously managing business files and documentation, managing QuickBooks financial software, preparing and sending invoices, managing an executive calendar and scheduling appointments through Google Calendar, managing office supplies and vendors.

Specific Responsibilities: Overseeing all phases of Accounts Payable and Receivable, including timely and accurate invoicing; entering A/R and A/P information into QuickBooks; purchasing office supplies; balancing multiple credit card statements on a monthly basis; accurately filing and labeling high volumes of paperwork that arrive in the office daily; dealing with vendors and customers over the phone; corresponding through email with vendors and customers; keeping the office and the business well organized!

Additional Information: Some local travel will be required so reliable transportation is essential. This includes, but is not limited to, miscellaneous business errands such as office supply runs, bank deposits, etc.

This is primarily an on-site position with the option to perform some limited work from home on a company issued computer.

Preferred requirements: Bachelors degree, financial or accounting background and relevant experience managing an office or providing operational assistance in a business office setting is preferred.

A professional demeanor and the highest level of discretion is essential in the management of confidential client and information.

Must have excellent communication skills, both verbal and written.

Must be proficient in Quickbooks, Microsoft Office, Google Docs, and Google Calendar.

Must be extremely well organized, and have the ability to keep the management of the company equally well organized.
