Position Description

The Great Basin Institute seeks a Program Assistant to support logistics, operations, and management of Research Associates (RAs) and interns in Nevada and other western states. The Great Basin Institute (GBI) is an interdisciplinary field studies organization that promotes environmental research, education, and conservation throughout the West. GBI RAs and interns work with federal, state, and local land management agencies on a wide variety of projects including wildlife monitoring, invasive plant inventories, recreation use surveys, resource mapping, restoration, cultural resource surveys, as well as other resource management initiatives.

The Program Assistant works with GBI staff to recruit and place program participants, coordinate project logistics and scheduling, assist with payroll, help to manage paperwork, and ensure compliance with all AmeriCorps, grant, and agency rules and regulations. General duties may include:

Administrative Support

Support payroll;

File documents, and edit/audit documents and files;

Assist staff in responding to telephone and written requests for information;

Assist in developing and instituting methods for quality control and accuracy in membership, partnership, staffing, and other databases;

Inventory and track off and on site storage;

Be familiar with functions of the program team to be able to assume support roles; and

May be called upon to assist with special projects and assume responsibility for the development, administration, and promotion of specific projects, as required.

Other Program Support

Support logistical planning for new and existing RA projects, including procurement, organization and inventory of equipment and supplies;

Support recruitment for the RA Program, including assisting with interviews, orientation and training;

Communicate regularly with Program staff to support all operations;

Collect, review and process GBI administrative paperwork;

Gather, manage and process data needed to satisfy quarterly and annual reporting requirements;

Participate in production of program newsletter and maintenance of social media sites;

Maintain established systems that enhance the success and satisfaction of RAs in the Program;

Maintain the RA alumni list and other tracking databases;

Assist Program staff with program operations, maintenance and expansion; and

Coordinate, collaborate with, and assist other GBI programs as required.

The Program Assistant may encounter a variety of opportunities for professional development, including gaining insight to the operational policies and procedures of a mid-sized environmental non-profit organization, exposure to a spectrum of environmental resource management positions and approaches for supporting them, and strengthening interactive skills through communication with diverse professional staff.

Location

Based at GBI offices in Reno, NV. The Biggest Little City in the World, Reno has an estimated population of just over 230,000; the greater Reno-Sparks metropolitan area has a population of just over 435,000. The city sits in a high desert at ca. 4,500 feet in elevation, at the foot of the Sierra Nevada mountains along the Truckee River, as it flows from Lake Tahoe to Pyramid Lake. Weather is mild, but with a distinct four seasons. Reno offers easy access to world-class outdoor recreation, with a 3- to 5-hour drive to Yosemite and Death Valley National Parks, the Pacific Ocean, and California redwood forests. Time frame

1-year appointment starting in December 2018; renewable pending performance and funding

Full time, 40 hours per week; available to occasionally work a varied schedule as needed, including some weekends, evenings and/or holidays

Compensation

Rate of Pay: $14.00/hour

Qualifications

Relevant educational background or degree, and experience in office procedures and quality standards;

Interest in project and personnel management and support, including scheduling, logistics, recruitment and retention, and training;

Familiarity and alignment with mission-driven nonprofit organizations, strongly preferred;

Interest in and appreciation of natural, cultural and/or recreation resources, land management, and/or environmental policy;

Ability to learn new database systems and follow procedural documents (e.g., payroll review procedures);

Experience and familiarity with the Microsoft Office suite of programs (Excel, Word, PowerPoint);

Ability to communicate effectively, both written and orally, with diverse others;

Strongly developed organizational skills, attention to detail, and ability to work cooperatively and independently, as needed;

Willingness and ability to work in a fast-paced, dynamic office environment, and to consistently enact high performance standards and a strong work and team ethic in support of the goals and objectives of the RA Program and the mission of GBI;

Valid, state-issued drivers license preferred; and

Ability to pass a FBI criminal background and National Sex Offender Public Registry (NSOPR) check.
