POSITION SUMMARY:
Responsible for supporting Living Innovations' mission, vision, and values; conducting work activities within the context of Living Innovations' policies and standards; and providing excellent customer service to internal and external customers, employees, and supported individuals
REQUIRED QUALIFICATIONS:
⢠High school diploma or equivalency
⢠Valid state issued driver's license, current vehicle insurance declaration and vehicle registration
⢠Must pass comprehensive background checks per state and company regulations/policies
REQUIRED SKILLS:
⢠Ability to make wellâreasoned decisions, both independently and as part of a team
⢠Ability to use discretion in handling confidential information
⢠Ability to manage, prioritize, and carry out multiple tasks
⢠Must possess good verbal, reading and written communications in English
⢠Must possess excellent customer service skills
⢠Proficient in Outlook, Word, Excel, and comfortable using phone, fax, and other standard office equipment
POSITION RESPONSIBILITIES*:
General Administrative Duties
⢠Is professional, warm, friendly, and helpful to all callers, visitors, individuals, guardians, and providers
⢠Answers the telephone and directs calls, taking/forwarding messages as needed
⢠Maintains and orders office supplies and company property inventory
⢠Maintains office form files, replenishing forms as needed, and ensures that current forms are being used
⢠Ensures the reception area, conference rooms, and other common areas are clean and organized
⢠Arranges for repair services for the office equipment as requested by the Program Manager
⢠Collects and/or distributes incoming and outgoing correspondence daily
⢠Ensures that office is open in the morning and/or secured at night, turning equipment on or off as needed
⢠Manages petty cash and conference room schedules
⢠Assists with office fire drills, evacuations, and safety matters as needed
Personnel Support
⢠Provides onboarding support to new hires which includes preparing and ensuring completion of all new hire paperwork
⢠Schedules and manages trainings including the distribution of training schedules
⢠Provides support to staff and home providers in registering for required trainings and is the main contact for the LI training system
⢠Maintains a training database (Eclipse) for home providers, and notifies managers when trainings are due
⢠Ensures employees are credited for live trainings
⢠Assists with the maintenance of employee and home provider files
Individual Services Support
⢠Maintains employee, provider, individual, and other databases as assigned
⢠Submits individual billing and other documentation to the Business Office as required
⢠Submits attendance reports and documentation to Area Agencies as required in NH only
⢠Assists with quality assurance checks of home provider and employee files
⢠Assists Case Management with maintaining individual documentation, scanning, filing, rep-payee as required in Maine only
Billing and Payroll Support
⢠Assists with the organization, coordination and submission of payroll/billing documentation, to include: WRoCS, WACS, invoices, timesheets, travel and check requests
SUPERVISORY RESPONSIBILITIES:
No supervisory responsibilities but occasionally may show other employees how to perform a task.

o Is subject to flexible hours, days/times including mornings, evenings, weekends and holidays
o Illumination and ventilation are good and distractions are at a minimum
