Proposal Writer/Marketing Coordinator

Summary:

The Marketing Coordinator is a member of the Marketing and Communications team of PGX, LLC. The team plans, implements and delivers marketing and sales support initiatives for four affiliate companies, which provide internal audit, tax, compliance, risk management, advisory services and software solutions to community banks and other financial institutions. The Marketing Coordinator plays a strategic role in managing the proposal process as it transitions from business opportunity to proposal development to award.

Responsibilities:

Manages a proposal opportunity from qualification to contract award, including ongoing strategy development, adherence to RFP, price development, scope of work development or enhancement, and internal review and control.

Performs ongoing maintenance of proposal template libraries, including updates of boilerplate language, biographies, scopes of work, or other changes as appropriate.

Regularly interacts with senior executives to strategize opportunities, determine resources, and conduct pricing discussions.

Reviews all proposals for errors, grammar, punctuation, etc.

Collaborates with subject matter experts to build new scopes of work for new services.

Inputs leads and updates in the sales/proposal pipeline to record a full view of the sales cycle for each prospect.

Provides client relationship management (CRM) coordination and support as part of the proposal process

Creates reports for management follow-up indicating proposals that are still pending client approval

Provides guidance for follow-up communications and strategies

Works with graphic designer to create logical graphics or workflow to enhance proposals

Manages special projects and perform other duties as assigned.

Documents and updates work processes as they relate to his/her position.

Other marketing or sales related duties as assigned

Education, Skills, and Experience Required:

Bachelors degree in English, Communications, Journalism or related degree

3-5 years of experience in a proposal writing role, preferably in a professional services firm

Impeccable organizational skills and proofreading skills

Ability to handle multiple projects simultaneously and thrive in a fast-paced environment

Exceptional verbal and written communication skills

Excellent interpersonal skills and ability to collaborate effectively with managers and senior executives

Exceptional poise and professional demeanor

Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

Knowledge of specialized and technical language and expressions used in the banking and financial industry, a plus

Knowledge of CRM software preferred

Experience with Smartsheet preferred

Physical Demands:

Regularly required to sit, use hands and fingers, handle or feel objects, use tools, keyboards or controls, reach with hands and arms, talk and/or hear. The employee frequently is required to stand and walk, and may need to use stairs, escalators, and elevators. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by the job include preparing documents and reading from a computer screen, requiring close vision, distance vision, peripheral vision, color vision, depth perception, and the ability to adjust focus.
