About E2RC:

E2RC is an environmental compliance and engineering firm based in New Mexico with expanding offices in Colorado. E2RC supports public and private companies and agencies to fulfill their state and federal clean water and environmental requirements by providing turnkey engineering, inspection and construction services.

Basic Function:

This position is responsible for performing routine clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, and providing information to callers.

JOB REQUIREMENTS

Education, Certification and Experience:

1. Minimum Associates degree required

2. Minimum two years administrative experience

Basic Skills:

1. Effective written communication skills

2. Able to speak to other to convey information effectively

3. Understand written sentences and paragraphs in work related documents

4. Self-starter, able to recognize when change is needed and comfortable bringing ideas to the attention of a supervisor

5. Extremely organized and detail oriented

6. Able to perform calculations using mathematics such as geometry and formulas. Examples would be calculating area or converting acres to square yards.

7. Must be able to work autonomously

Social Skills:

1. Able to interact with other employees in a friendly and effective manner.

2. Able to interact with customers and vendors in a just and friendly manner as a representative of the company.

3. Actively look for ways to help colleagues and customers.

4. Ability to adjust actions in relations to others’ actions or reactions.

Technical Skills:

1. Typing by touch with high accuracy.

2. Expedient with the use of Microsoft Office programs.

3. Familiarity with maintaining filing systems to be standardized and functional.

4. Comfortable using and learning various software programs.

Desktop Computer Skills:

1. Databases - Using computer applications to manage large amounts of information, including creating and editing simple databases, inputting data, retrieving specific records, and creating reports to communicate the information.

2. Graphics - Working with pictures in graphics programs or other applications, including creating simple graphics, manipulating the appearance, and inserting graphics into other programs.

3. Internet – Using internet resource and browsers to retrieve and submit information. Must have a high degree of comfort using the internet, downloaded and uploaded files, and related applications.

4. Navigation - Using scroll bars, a mouse, and dialog boxes to work within the computer's operating system. Being able to access and switch between applications and files of interest.

5. Presentations - Navigating the Internet to find information, including the ability to open and configure standard browsers; use searches, hypertext references, and transfer protocols; and send and retrieve electronic mail (e-mail).

6. Spreadsheets - Using a computer application to enter, manipulate, and format text and numerical data; insert, delete, and manipulate cells, rows, and columns; and create and save worksheets, charts, and graphs.

7. Word Processing - Using a computer application to type text, insert pictures, format, edit, print, save, and retrieve word processing documents

PRIMARY RESPONSIBILITIES:

1. Light bookkeeping activities such entering bills and expense coding.

2. Complete operational errands or deliveries.

3. Answer telephones within three rings. Handle inquiries or direct them to the appropriate persons as necessary. Take and forward messages as necessary.

4. Review, route, and respond to general company e-mail in a timely fashion.

5. Manage and order the marketing or construction materials.

6. Complete new order processing and set – up in accordance with company procedures.

7. Prepare and mail/email the monthly EEO reports in a timely fashion.

8. Maintain all digital customer, project and vendor files in accordance with company guidelines.

9. Set up and manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as attendance records, correspondence, or other material.

10. Issue thank you letter at the completion of jobs.

11. Complete project forms such as liens, submittals and subcontracts in accordance with company procedures.

12. Locate and attach appropriate files to incoming correspondence requiring replies.

13. Operate electronic mail systems and coordinate the flow of information, internally or with other organizations.

14. Compose, type, and distribute meeting notes, routine correspondence, or reports, such as presentations or expense, statistical, or monthly reports.

15. Provide services to customers, such as order placement or account information.

16. Track on order office supplies.

17. Any other related duties as assigned.

PHYSICAL DEMANDS AND WORKING CONDITIONS

1. Able to sit for extended periods

2. Utilize multiple computer screens for extended periods

3. Able to handle multiple tasks and deadlines effectively

4. Able to use a computer, calculator, write, and use the phone

5. Available to work off hours when necessary

6. Must possess a valid and appropriate driver’s license and have reliable work transportation

SCHEDULE

Position is part-time, approximately 25-30 hours per week. Schedule will be Monday - Friday, 12:00 PM MST to 5:00 PM MST. Scheduled hours may be modified based on discussion with supervisor.

Job Type: Part-time

Hourly: $15.00 to $19.00 /hour
