Vacancy Name: IRC76061DescriptionJob Title Administrative Assistant 4Location Los Alamos, NM, USOrganization Name MPA-CINT/Center For Integrated NanotechnologiesMinimum Salary 51100Maximum Salary 79100What You Will DoThe Center for Integrated Nanotechnologies (CINT) Group Office seeks an efficient, energetic, and highly proficient Administrative Assistant to provide support to the Group Office as well as to incoming visitors, researchers, and management. The successful candidate will have a customer-focused approach to administrative responsibilities and work cooperatively with staff in a very dynamic and diverse office environment while maintaining a positive attitude and professional work atmosphere. This position requires a motivated performer who is capable of acting independently, prioritizing multiple simultaneous tasks, and quickly changing focus as needed. This position will require excellent team work, while working closely with a peer administrator in ensuring the efficient operation of the CINT Group Office.This position will provide administrative support for a wide variety of office-related activities including but not limited to:

Executing complex administrative and office‐related functions and activities requiring attention to detail, sound judgement, initiative, and independent action.

Serve as a Procurement Representative (DPR), timekeeper, and alternate key custodian.

Possess the ability to independently generate a variety of internal and external correspondence.

Coordinating multiple calendars and complex schedules.

Coordinating foreign travel arrangements and reimbursements.

Handling program and/or personnel sensitive information.

Carrying out job responsibilities with minimal supervision, demonstrating initiative, tact, and discretion with “in-confidence” and sensitive information/matters.

Ensuring the office atmosphere is conducive to open communications and interactions.

Demonstrated ability to work effectively and calmly under pressure of multiple deadlines, frequent interruptions, and changing priories.

What You NeedMinimum Job Requirements:

Extensive experience and proven competence in providing high‐level administrative support in a busy, complex office environment.

Demonstrated advanced computer skills in MS Office Suite (Word, Excel, PowerPoint, Outlook).

Demonstrated ability to work independently in maintaining excellent quality in daily operational work and follow through to completion.

Demonstrated ability to organize, prioritize, and complete multiple projects with strict deadlines and changing priorities.

Demonstrated ability to effectively manage complex calendars and coordinate meetings as required.

Demonstrated excellent interpersonal communication skills (verbal and written) while interfacing effectively with all levels of personnel and managers.

Excellent record of dependability, availability, attendance, and punctuality to ensure group office coverage.

Demonstrated ability to work well as a team player and proven ability to build effective working relationships and networks while interacting effectively with all levels of personnel, managers, external customers as well as with team office administrators.

Ability to accept and perform new responsibilities as the need arises.

Desired Skills:

Demonstrated experience and extensive knowledge of the Laboratory’s business systems (e.g., Oracle, Time and Labor, Concur, Foreign Visits Tracking System, Foreign Travel, and iProcurement).

Designated Procurement Representative (DPR) experience.

Thorough knowledge and in-depth understanding of Laboratory organizational structure, operations, policies and administrative systems.

Demonstrated competency in the management of keys and cores.

Demonstrated ability to manage complex calendars and coordinate meetings to include Video Telecommunications and Conferencing (VTC) with multiple managers, group leaders, and other administrators.

Previous experience working with a diverse set of individuals from a broad range of cultures.

Ability to obtain a Q clearance, which normally requires U.S. citizenship.

Education Required: Five or more years of related experience, or an equivalent combination of education and experience.
