What You Will DoThe Emergency Management Division (EMD) at Los Alamos National Laboratory (LANL) seeks an administrative professional to serve as an Administrative Assistant 4 assigned to the Emergency Preparedness Group (EM-PREP) and Emergency Operations Group (EM-OPS). The selected candidate will be responsible for providing administrative support to both groups, which includes programs/teams such as Site-Level Emergency Preparedness, Deployed Emergency Preparedness, the Emergency Operations Support Center (EOSC), Incident Response Commanders (IRCs), and the Wildland Fire Program. This position will also serve as a member of the Emergency Response Organization (ERO) with an assignment in the Emergency Operations Center (EOC) during drills, exercises, and actual emergency responses. This position will report to the EM-PREP Group Leader and/or EM-OPS Group Leader.What You NeedMinimum Job Requirements:Administrative SupportExpert-level knowledge of and experience providing high-level administrative support in a busy office environment requiring complex calendar management, domestic and foreign travel, procuring products to include out of the ordinary (i.e. furniture, clothing, signage, etc.), meeting scheduling/logistics, visitor processing (including international visitors), accurate data entry and tracking, and group timekeeper for group staff and backup for other organizations and coordination of the Key Program for building staff. Experience with solving problems, developing and implementing solutions, and innovating business practices to ensure customer satisfaction at all levels.Business SystemsExpert-level knowledge and experience with the Microsoft Office Suite (particularly with Outlook, Excel, and Word) and knowledge of the Oracle business systems and Concur for domestic and foreign travel. Extensive experience independently and accurately interpreting data and information.CommunicationExcellent interpersonal, verbal and written communication skills while interacting effectively with people throughout the organization hierarchy and in partnership with internal support organizations. Grammatical proficiency, formatting, and editing capabilities expected at this level.LeadershipDemonstrated mentoring and teaming skills. Utilization of tact, diplomacy and discretion in dealing with sensitive and in-confidence information.Personal LeadershipDemonstrated ability to manage interruptions and changing priorities; to complete assignments with or without established procedures; and be available and dependable.Education/Experience: Position requires a minimum of 5 years related experience; or, an equivalent combination of education and experience directly related to the occupation. At this level, additional training, certification, and/or education may be desirable.Desired Qualifications:Business SystemsProficiency in multiple Laboratory-wide business systems (e.g., Oracle, Time and Labor (experience with LANL special pay provisions on-call, overtime, shift differential, Saturday/Sunday Premium, etc.), iProcurement (Super DPR qualifications), Concur, UTrain, Foreign Visit Tracking System) and computer software applications (e.g., Microsoft PowerPoint and SharePoint).
